The Role
The UK Airprox Board (UKAB) is the independent body responsible for investigating and assessing Airprox incidents in UK airspace. Its purpose is to improve aviation safety by identifying the causes of aircraft proximity events and issuing safety recommendations to prevent recurrence.
The Office Manager is the line-manager for UKAB administrative personnel, ensuring induction, training, annual performance reporting and personnel tracking functions are delivered. The Office Manager also oversees UKAB ancillary administrative functions such as the provision of office supplies, booking of travel and courses, management of IT and office equipment, and maintenance of the UKAB Registry and file-management processes.
Core Accountabilities, but not limited to:

Ensure efficient and effective office support to Director UKAB and the team of specialist UKAB Inspectors

Act as Line Manager for UKAB administrative staff.

Oversee the compilation, finalisation, distribution and publication/uploading of UKAB Reports and associated functions, outputs and material.

Ensure that preparations and products for Board meetings are completed in a timely manner.

Develop expertise with regard to the routine administrative tasks supporting the UKAB so that they can act as a credible mentor and able to step in to conduct the tasks of subordinates at any stage.

Proof-reading of all published documents.

Train, appraise, coach/mentor and develop individual administration team members, arranging courses as necessary.

Assist the Director in any administration team recruitment activity.

Ensure efficient and effective management of the UKAB office supplies and equipment. Maintain the technical library and maintain an efficient electronic filing system.

Manage the Induction of all new colleagues to the UKAB

Budget and finance management;

Health & Safety and IT/office equipment coordinator & custodian;

About You
Essential:
- Good written and oral English communication skills essential; ability to communicate with external bodies and the public is essential; good telephone manner; excellent standard of numeracy and literacy.
- Ability to lead and work within a small specialist team, in a multi-disciplined environment.
- Dependable, reliable and willing to work outside immediate specialisation and nominal office hours in order to ensure UKAB outputs are met.
- Can assess the need for change in own functional area and look for potential to make further efficiencies; flexible in adapting to changes in UKAB operating processes and procedures; understands modern IT methodologies and networking concepts, able to embrace new electronic ways of working and to assist others to adapt to change.
- Demonstrates flexible and efficient time management in order to achieve results.
- Able to motivate staff to meet delivery timelines; high degree of tact, diplomacy and confidentiality when dealing with members of the public over complex and sensitive issues in the public domain, and when dealing with managers at the highest levels of civilian and military authorities.
- Apply innovative thinking in order to overcome problems and drive efficiencies through critical challenge to normal working practices.
- Excellent knowledge of general office administration processes and procedures together with good organisational skills, knowledge of, and experience with, standard office software applications. Demonstrates an aptitude for IT/Web-based working.
Desirable:
- Staff managerial and training experience.
- Comfortable with Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams etc) and experience in operating shared electronic working areas – specifically Microsoft SharePoint.
- Experience working with budget management and procurement.
Additional Information
For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance. To be vetted we will usually expect a reasonable period of residency in the UK so that meaningful checks can be undertaken. For this role this will need to be 5 years.

Relocation & Property
The CAA will be relocating from Aviation House (Our Gatwick Office) to new premises in a few years’ time. Our move is driven by strategic, operational and environmental considerations.
We will be moving to a new local home, up to a 15-mile radius of Aviation House, to minimise disruption for our valued colleagues and customers.
We are now working with colleagues and visitors to understand what we need in our new office, before we start our property search. We will sell Aviation House and land, vacate the site and move to new premises, but we do not expect to move before 2028. There are no planned changes to the arrangements for the Northolt office in the next 5 years.
