Job Advert: Executive Team Assistant

Location: United Kingdom

Contract Type: Permanent, Full time (35 hours)

Working pattern: Hybrid with flexibility to travel

Salary: £35,000 - £40,000 per annum

Our client, a prestigious financial institution, is seeking an exceptional Executive Team Assistant to join their dynamic team. This is an exciting opportunity to provide high-level administrative and operational support to the UK Chief Financial Officer (CFO) and Chief Operating Officer (COO), while also collaborating closely with the Executive Assistant to the CEO.

This role is pivotal in ensuring seamless coordination, communication, and execution across the Executive Office and leadership team. If you thrive in a fast-paced environment and possess outstanding organisational skills, this position could be the perfect fit!

Key Responsibilities

Executive Team Support

  • Provide flexible and responsive support across the Executive Team, adapting to changing priorities.
  • Manage diaries for the UK COO and UK CFO, scheduling meetings across various stakeholders and time zones.
  • Coordinate internal and external meetings, including agendas, materials, and follow-up actions.
  • Arrange travel accommodations and itineraries for executives, ensuring a smooth experience.
  • Prepare presentations, reports, meeting notes, and executive correspondence.
  • Offer diary management support for the UK CEO in the absence of the EA to the CEO.

Executive Office Coordination

  • Collaborate with the Executive Assistant to the CEO to support prioritisation and delivery across the Executive Office.
  • Assist with executive leadership meetings, offsites, and company events.
  • Track and proactively follow up on action items, deadlines, and key deliverables.
  • Facilitate cross-functional communication and coordination between executives and internal teams.
  • Maintain organised records and confidential documentation.
  • Provide support with London office management, including logistics and operational needs.

Communication & Relationship Management

  • Serve as a professional liaison between executives, employees, clients, and external stakeholders.
  • Facilitate smooth communication flow across the leadership team.
  • Handle sensitive and confidential information with the utmost discretion.
  • Anticipate executive needs and proactively resolve scheduling or operational challenges.

Essential Experience And Skills

  • Proven experience supporting senior leaders.
  • Exceptional organisational, multitasking, and time management skills.
  • Strong written and verbal communication abilities.
  • High attention to detail and effective prioritisation skills.
  • Proficiency in Microsoft Office, Teams, and calendar management platforms.
  • Ability to work independently while maintaining close collaboration with executive leadership.
  • Experience coordinating leadership meetings, offsites, or board-related activities.
  • Expertise in managing complex calendars and travel arrangements.
  • Proven ability to handle confidential and sensitive information with professionalism.
  • Experience managing competing priorities and adapting quickly to changing business needs.

Desirable Experience & Skills

  • Experience in a fast-paced corporate environment.
  • Exposure to cross-functional collaboration with stakeholders at all organisational levels.
