Location: Reading, RG1 3EU
Employment Type: Full-time, Permanent
Working Pattern: 5 days per week, fully onsite
Salary: £26,000 – £33,000 per annum, depending on experience

The person would look after day-to-day finance work for our company’s UK business and help with the HR and admin duties below.

Responsibilities

Accounting and Zoho Books

  • Keep the books up to date, reconcile bank accounts and prepare month-end schedules.
  • This includes the Zoho Books work we discussed.

Invoicing and collections

  • Raise invoices on time, track outstanding balances and follow up with customers on payments and billing queries.

Supplier payments

  • Keep track of supplier invoices and amounts due.
  • Prepare payment details and supporting documents for approval.

Payroll

  • Check timesheets, salary details and employee changes.
  • Send the monthly inputs to the payroll provider.

UK compliance

  • Track deadlines and get the information needed for VAT, PAYE and other statutory requirements to the external accountants on time.

Records and monthly reports

  • Keep invoices, expense records and supporting documents organised for accounting, tax and audit purposes.
  • Prepare basic monthly finance reports and trackers.

Day-to-day coordination

  • Work with the UK team, management, employees, customers, suppliers and external accountants.

HR and Admin Duties

Joining and leaving

  • Help with employee onboarding and offboarding.
  • Follow up with candidates and employees for the required paperwork.

Employee records

  • Keep employee details, employment documents, payroll records and leave and attendance trackers accurate, up to date and confidential.

Company records and purchasing

  • Keep statutory and admin records, customer and supplier contracts, NDAs and other agreements organised.
  • Coordinate purchases and maintain supplier and purchase records.

Additional Responsibilities

Taking ownership

  • Stay on top of regular tasks, sort out routine problems and follow things through.
  • Raise issues early when help or a decision is needed.

Cash visibility

  • Provide regular updates on bank balances, expected receipts and upcoming payroll, supplier and tax payments.
  • Keep a short-term cash forecast and flag likely shortfalls early.

Knowing when to ask for advice

  • Handle routine work using agreed processes and recognise when a UK accountant or tax adviser needs to be involved.
  • Keep a record of their advice and put it into practice.

Following compliance through

  • Maintain the compliance calendar, chase information and updates, flag delays and confirm that filings and payments have been completed.

Speaking directly with customers and advisers

  • Be comfortable calling or emailing customer finance teams and external advisers, resolving queries and following up on agreed actions.

Keeping a record of decisions

  • Maintain a simple log of important accounting and tax treatments, including the advice received, why the treatment was agreed and when it applies.

Making handovers straightforward

  • Write down regular processes, deadlines, key contacts and outstanding matters so someone else can pick up the work when needed.

Developing the reporting

  • Build on the monthly reports as the business grows, covering profit and loss, the balance sheet, cash, outstanding customer balances and key finance or compliance matters.

Candidate Profile

Accounting experience

  • Strong accounting basics and practical experience, likely around 1–3 years.
  • Finding someone who can handle the work matters more than an exact number of years.

Communication and organisation

  • Clear communicator who is comfortable dealing with people outside the business, pays attention to detail and meets deadlines.

UK knowledge

  • Familiarity with UK accounting, VAT and PAYE would be useful.
  • Specialist technical advice would continue to come from the external UK advisers.
