Job Summary

The UK Office Manager & Executive Assistant is responsible for the smooth day-to-day operation of Brio’s London office while providing high-quality administrative support to senior leaders. The role combines hands-on workplace management with proactive executive support, helping ensure the office, employees, visitors, meetings and leadership priorities are coordinated efficiently and professionally.

This is a highly visible, service-oriented role requiring sound judgement, discretion, strong organization and the ability to anticipate needs. The individual will serve as the primary point of contact for office-related matters in London and a trusted partner to the executives they support.

This is a full-time, London-based role with an in-office expectation of five days per week requiring a high degree of independence, sound judgment, and consistent ownership of competing priorities.

What you will do:

London Office Operations

  • Own the daily operation and readiness of the London office, maintaining a professional, welcoming and high-quality workplace experience.
  • Welcome visitors, coordinate guest access and manage incoming calls, post, couriers and deliveries.
  • Coordinate building access, passes, security requirements, visitor registration and other facilities-related needs.
  • Oversee meeting rooms, seating plans, desk assignments and workspace utilization, particularly during periods of growth or high occupancy.
  • Manage office supplies, food and beverages, monitoring inventory and coordinating orders and deliveries with approved vendors.
  • Coordinate internal meetings, team events and office activities, including logistics, catering, room set-up and technology support.
  • Maintain office calendars, shared resources, workplace guidance, emergency procedures and other local office documentation.
  • Partner with building management and service providers to resolve facilities issues promptly and minimize disruption.

Executive Support

  • Provide proactive day-to-day support to designated senior leaders, managing competing priorities with discretion and sound judgement.
  • Own complex diary management, including scheduling, prioritizing and resolving conflicts across internal and external commitments.
  • Coordinate domestic and international travel, preparing detailed itineraries and responding quickly to changes.
  • Prepare and process expenses, invoices and related documentation accurately and on time.
  • Coordinate meetings, including agendas, materials, rooms, technology, catering and follow-up actions.
  • Draft, review and format professional correspondence, presentations and other materials for internal and external audiences.
  • Capture meeting notes, actions and decisions where required, and help drive timely follow-through across stakeholders.
  • Act as a professional and responsive point of contact for colleagues, clients, vendors and other external parties.
  • Handle sensitive and confidential information with the highest degree of discretion.

What you should have:

  • At least 5 years of experience in executive assistance, office management, workplace services or a comparable administrative role in a professional corporate environment.
  • Demonstrated experience supporting senior executives and managing complex diaries, travel and meeting logistics.
  • Strong organizational and prioritization skills, with the ability to manage multiple workstreams and changing demands calmly and reliably.
  • Excellent written and verbal communication skills, with a polished and professional approach to a wide range of stakeholders.
  • High standards of discretion, judgement, confidentiality and attention to detail.
  • A proactive, service-oriented mindset and the ability to anticipate needs, identify issues and take ownership through resolution.
  • Experience coordinating vendors, invoices, facilities requests and office technology is preferred.
  • Proficiency in Microsoft 365, including Outlook, Teams, Word, PowerPoint and Excel.
  • A degree of schedule flexibility as this position may involve work outside of typical working hours based on team priorities and operational requirements.
