About The Role

The UK Programme works with partners across politics, civil society, business and the wider climate ecosystem to support ambitious, credible and socially responsible climate action in the UK. The team is small, collaborative and fast-moving, with a strong focus on relationships, political context and practical delivery.

The UK Team Assistant will provide high-quality administrative, logistical and coordination support to the UK Programme at ECF. Working closely with the Interim UK Co-Directors and the wider UK team, the postholder will help keep the team organised, responsive and focused on its strategic and partnership priorities. The role combines diary and travel management, meeting and event coordination, document preparation, action tracking and operational support. It is a key enabling role for this busy and externally-facing programme team working on climate action in the UK.

Key Responsibilities

Executive Support

  • Manage the Interim Co-Directors' calendars, scheduling, and travel arrangements, including anticipating preparation needs and helping ensure time is used effectively.
  • Provide administrative support to the wider UK team, including scheduling, coordination, and meeting preparation in coordination with the Co-Directors.
  • Draft, edit, proof-read and format correspondence, presentations, and internal communications, ensuring documents are clear, accurate and consistent with ECF style.
  • Maintain a system for tracking priorities, deadlines, and follow-up actions on behalf of leadership.

Stakeholder Coordination & Event Logistics

  • Provide logistics support for in-person meetings, events, and workshops for both internal and external participants.
  • Support the team to manage external relationships by maintaining contact lists and coordinating with partners.
  • Prepare agendas, meeting materials, slide decks, and briefing notes; take and distribute notes as needed.
  • Track action items and ensure timely follow-up across team members and partners.

Operations & Administrative Support

  • Support the Co-Directors in invoice processing and contract management for the team, in partnership with ECF's Operations team.
  • Maintain team calendars, contact lists, and knowledge management systems, ensuring shared drives and communications channels are organised, up to date and easy for colleagues to use.

Experience And Competencies

This role would suit someone who enjoys bringing order to a busy environment, is comfortable working with senior colleagues and external partners, and takes pride in making teams run smoothly behind the scenes. The postholder will need to be proactive, calm under pressure, highly organised and able to handle sensitive information with discretion.

Required Qualifications

  • Experience as an Executive Assistant, Team Assistant, Event Coordinator, Project Coordinator or in other administrative support roles.
  • Strong organisational and multitasking skills with exceptional attention to detail.
  • Excellent written and verbal communication skills in English.
  • Strong interpersonal abilities, able to work well with people from a variety of cultures and personalities.
  • High level of discretion and sound judgment when handling sensitive or confidential information.
  • Proficiency in Microsoft Office and confidence learning new digital tools, including tools for online meetings, shared document management and project tracking.

Preferred Qualifications

  • Familiarity with UK civil society, especially organisations working on climate.
  • An interest in ECF's mission and motivated to support climate action through excellent coordination and team support.
  • Experience with process improvement and process documentation.
  • Experience coordinating logistics for events, meetings, and international travel.

  • A salary between £25k-£40k, depending on experience and benchmarking within the organisation.

Location

ECF's London office near Euston station, with option to work remotely part of the time.

Candidates need to be in possession of a work permit for the work location if applicable.
