UKG System Administrator & HR Advisor

Role Overview

We are looking for an experienced, organised and self-motivated UKG System Administrator & HR Advisor to own our HR systems and day-to-day people processes.

This is a standalone internal HR role, not part of a traditional HR department. You will work autonomously, manage your own priorities and keep HR administration, employee records, compliance and UKG properly maintained. You will identify what needs doing, prioritise it and follow actions through without constant direction.

UKG underpins employee records, onboarding, time and attendance, holiday/absence, probationary reviews, performance records and wider HR administration. You will be our internal UKG subject matter expert, keeping it accurate, effective and properly used.

You will also be first contact for routine HR matters, guiding managers/employees and supporting straightforward employee relations. You are not expected to be a standalone HR Manager or employment law specialist: complex, sensitive or higher-risk matters are supported by external HR advisers.

The role suits someone who enjoys people and systems, can move between advising managers, checking Right to Work and resolving UKG workflow/reporting issues, and takes ownership without waiting for direction.

About You

You will be the go-to person for day-to-day HR and UKG, confident making decisions within your remit, setting priorities and recognising when external HR support is required.

Ideally you will have:

  • CIPD Level 5, be working towards it, or equivalent practical HR experience.
  • HR Advisor, HR Generalist, HR Systems or similar experience.
  • Confidence working independently, with strong ownership, initiative and personal responsibility.
  • Sound judgement on what can be handled internally and what needs specialist advice.
  • Experience giving practical HR guidance and supporting routine ER conversations.
  • Experience administering an HRIS or substantial business database; UKG, Kronos, Workday or similar is a significant advantage.
  • Strong knowledge of employee records, HR administration and compliance.
  • Excellent attention to detail, data accuracy, organisation and time management.
  • Logical/analytical systems and process problem-solving and ability to manage competing priorities.
  • Strong communication/interpersonal skills and confidence delivering system guidance/training.
  • Strong Microsoft Office skills, particularly Excel, Outlook and Word.
  • A proactive improvement mindset and discretion with confidential employee information.
  • Experience in logistics, warehousing, an SME or family-owned business is advantageous but not essential.

Key Responsibilities

UKG System Ownership

  • Own UKG day to day and act as principal internal system administrator.
  • Maintain accurate employee data; manage users, permissions, workflows and configuration.
  • Identify issues, inconsistencies and improvements; investigate independently and liaise with UKG support where needed.
  • Maintain/improve employee records/digital files, recruitment/onboarding, time and attendance, holiday/absence, probation, performance records, ER documentation, workflows and approvals.
  • Automate/simplify administration; maintain system documentation/guides; produce HR reports/management information.
  • Work with managers/departments to keep data accurate/useful; monitor adoption and correct poor system use.

Day-to-Day HR Advice & Employee Support

  • Be first contact for routine employee/manager HR queries and advise on policies, procedures and standard processes.
  • Support straightforward ER, absence, performance and conduct discussions.
  • Prepare correspondence/supporting documents and accurate meeting/action records.
  • Monitor/support probationary reviews and help managers apply processes fairly/consistently.
  • Be a visible, approachable and professional employee contact.
  • Refer non-routine matters promptly to external HR support.

External HR Support

Walker Logistics retains professional external HR support for matters beyond routine administration and straightforward ER: complex disciplinary matters; formal grievances/investigations; complex capability or long-term absence; redundancy/restructuring; TUPE/significant organisational change; employment law; higher-risk ER; complex contractual/policy matters; and any situation needing specialist HR/legal guidance.

You must recognise when specialist advice is needed, provide required information/documentation and coordinate actions internally.

Compliance & Employee Records

  • Maintain complete/accurate digital personnel files and full Right to Work compliance.
  • Ensure employment documents are correctly recorded/retained and required HR processes, including probation, are monitored.
  • Manage holiday, absence and time-and-attendance through UKG.
  • Audit employee information and correct missing, inaccurate or incomplete records.
  • Handle employee data sensitively and in line with data protection requirements.

Training & System Adoption

  • Increase effective UKG use; train/guide employees and managers and produce practical materials.
  • Support new starters/managers with HR/system processes.
  • Address recurring errors through training/process changes, challenge unnecessary manual workarounds and build confidence in correct system use.

HR Process Improvement

  • Review HR processes and implement improvements.
  • Challenge duplication, unnecessary administration and inefficiency.
  • Develop scalable processes for growth and improve record-keeping, reporting and employee administration.
  • Support wider improvement projects involving people, data or HR systems.
  • Keep actions organised and follow issues through to resolution.

Autonomy & Accountability

There is no internal HR department providing day-to-day supervision. You will manage workload/priorities/deadlines; anticipate HR requirements; identify areas needing attention; correct incomplete/inaccurate records, systems and processes; develop solutions; keep senior management informed of significant issues; handle routine HR/ER confidently; recognise complexity/risk; engage external HR support appropriately; build strong manager relationships; maintain organised records; evidence completed actions; and genuinely own UKG and day-to-day HR administration.

You will have considerable freedom, backed by professional external support. This role suits someone who enjoys ownership and making things happen, rather than frequent direction or a larger HR team with clearly allocated tasks.
