Role Summary

Responsible for supporting Underwriting Services and Underwriting teams by overseeing and managing electronic communication and documents, correctly storing them in our document repository to facilitate efficient workflow, and liaising with underwriting teams when necessary to ensure accuracy or to resolve any queries that may arise.

Receive exception reports relating to missing or erroneous documents and refer to other users to resolve the exceptions and ensure documents are stored correctly.

  • Support underwriting teams by managing incoming endorsement and declaration policy documents
  • Regular monitoring of underwriting team email inboxes that Underwriting Services have agreed to support and reviewing received policy endorsements and lineslip declaration slips; be responsible for correctly identifying and allocating them within the document repository.
  • Support automated document management processes
  • Regular review of folders containing documents that were rejected by automated indexing processes.
  • Review and identify errors within the document that caused the rejection and, if necessary, liaise with the relevant underwriter to determine if any corrections to the document are required or other action is needed.
  • Once any issues are resolved complete the allocation of the document within the repository.
  • Monitor document exception reports to reduce delays in workflow and identify potential issues with other
  • On a daily basis receive exception reports flagging incorrectly allocated or missing documents, and take responsibility for resolving reported items.
  • Liaise with users responsible to notify them and arrange for action to be taken as necessary, and escalate persistent items to Underwriting Services Management.
  • Constantly seeks to improve practices and procedures within own area of responsibility, ensuring the maintenance of an effective control environment
    • Identify potential improvements based on review of errors and documents to increase effectiveness of automated processes.
    • Liaise with IT team responsible for managing processes to implement improvements.
  • Takes ownership of own personal development
    • Generate and action a personal development plan that prioritises those competencies that are key to the role and for which individual development is required
