Vehicle Maintenance Controller

Oakley Recruitment is working in partnership with an expanding organisation. This is an excellent opportunity to join the team as a Vehicle Maintenance Controller on a full-time permanent basis.

You’ll be joining a dedicated team working with an innovative software platform. It’s a busy, customer-focused environment where teamwork, problem-solving and building strong relationships with customers and suppliers are important.

Personality

We are seeking a workshop experienced professional ready to progress into an office-based role. This opportunity would suit someone with practical workshop experience who is confident communicating with customers.

Organised and commercially aware, you’ll be confident making decisions, negotiating with suppliers, and balancing cost with excellent customer service. You’ll be a proactive team player with strong attention to detail and the ability to remain calm and focused while managing multiple priorities.

Reward

  • Monday–Friday, 9:00am–5:30pm
  • 25 days holiday plus bank holidays
  • Death in Service at 4 times annual basic salary
  • Pension after a 3-month probation period
  • Hybrid working available after 6 months’ probation

Job Role

  • Authorising vehicle service, maintenance and repair work in line with manufacturer schedules, vehicle history, warranty position, customer requirements and agreed budgets
  • Managing individual maintenance budgets and ensuring requests meet relevant warranty guidelines before approval
  • Analysing mechanical failures and making sound technical and commercial decisions to identify appropriate, cost-effective repair solutions
  • Reviewing technical reports and communicating findings clearly to customers and stakeholders in a non-technical way
  • Managing work authorisation requests and liaising with customers and suppliers to minimise vehicle downtime and ensure work is completed within agreed timescales
  • Completing root cause analysis of vehicle component failures and required repairs
  • Responding to customer and supplier enquiries by telephone and email while resolving queries, issues and complaints effectively
  • Monitoring maintenance spend, identifying recurring trends and supporting effective cost control across customer fleets
  • Building and maintaining strong relationships with customers, suppliers and colleagues across the wider Fleet team
  • Working towards departmental KPIs including cost control, telephone response times and budgetary requirements

Skills and Experience

  • Having previous Maintenance Control, Motor Group Retailer Service Reception or Workshop Control experience
  • Demonstrating strong technical knowledge with the ability to understand vehicle maintenance and repair requirements
  • Communicating technical information confidently and clearly to both technical and non-technical stakeholders
  • Possessing a confident, articulate and customer-focused telephone manner
  • Demonstrating strong communication and negotiation skills when dealing with customers and suppliers
  • Possessing excellent problem-solving and analytical skills with a methodical approach to decision-making
  • Demonstrating strong organisation and time-management skills with the ability to manage changing priorities
  • Having strong Microsoft Office 365 skills, particularly Word and Excel
  • Demonstrating the ability to build effective relationships and manage stakeholders at all levels
  • Having previous experience within dealership, fleet management or leasing environments being advantageous
  • Demonstrating experience delivering a high-quality service within agreed timescales and budgets
