At Rexel, we’re looking for a proactive and highly organised Vehicle Support Assistant to support keeping our commercial vehicles running safely, efficiently, and compliantly. We are open to anyone based around the Birmingham area, must be happy to travel when required.

Job Description

As our Vehicle Support Assistant, you’ll play a vital role in supporting the smooth day-to-day operation of our company fleet across cars and vans. From vehicle administration and licence compliance to reporting and supplier support, you'll play a key role in maintaining accurate records, ensuring regulatory compliance, and supporting the efficient operation of the company fleet.

What you'll be doing:

  • Managing day-to-day administration across the company car and van around the UK
  • Maintaining compliance records, including driver licence checks, MOTs, servicing schedules, and vehicle documentation
  • Processing penalties, recharge notices, insurance claims, and negligent damage cases
  • Keeping Licence & Fuel card databases, systems, and vehicle records accurate and up to date
  • Producing regular reports, management information, and performance data
  • Administering supplier records, monitoring service delivery, and supporting cost control activities
  • Providing first-line support and guidance on Vehicle related queries from employees and managers
  • Maintaining vehicle allocation records and supporting the administration of vehicle movements
  • Processing vehicle related invoices, purchase orders, and associated documentation
  • Supporting audits, policy compliance, and continuous improvement initiatives within the fleet function

What we’re looking for:

  • Experience in vehicle administration
  • Strong organisational skills and a high level of attention to detail
  • Good understanding of compliance and legal requirements within a fleet environment
  • Confident using Microsoft Office, especially Excel
  • Strong communication skills and the ability to build effective working relationships
  • A proactive approach with the ability to manage multiple priorities and deadlines
  • Good numeracy and literacy skills
