Vendor Support Contractor

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Vendor Support Contractor based in United Kingdom.

As a Vendor Support Contractor, you will provide essential operational support to a growing vendor management program. You will keep user access, vendor records, communications, and documentation accurate and well organized. The role is highly hands-on and combines administrative coordination with regular communication across a distributed vendor network. You will help project teams identify suitable vendors based on skills, rates, availability, and previous performance. You will also respond to linguist questions and ensure issues requiring specialized input are escalated appropriately. Success in this role requires strong attention to detail, reliability, and the ability to manage recurring workflows independently. You will have opportunities to improve processes, increase efficiency, and introduce practical automation where it adds value.

Accountabilities

  • Onboard new users and provision accounts and credentials across relevant systems, ensuring access records remain accurate and current.
  • Maintain vendor information, including rates, contact details, availability, and other key records in internal trackers.
  • Prepare and send vendor communications, including announcements, bulk outreach, and targeted messages to vendors and linguists.
  • Track communication responses, maintain accurate records, and follow up when required.
  • Use existing vendor data to help project managers identify suitable vendors for specific projects based on language pairs, rates, availability, previous performance, and other relevant criteria.
  • Respond to inbound questions from linguists and vendors, primarily through email, providing clear and professional support.
  • Escalate questions or issues requiring specialized knowledge or additional internal input.
  • Organize, file, and maintain digital documents and records so that information remains easy to locate and access.
  • Maintain clear and consistent folder structures and documentation practices.
  • Identify opportunities to streamline recurring workflows, improve efficiency, and introduce practical process improvements or automation.

Requirements

  • Strong organizational skills with excellent attention to detail and accuracy.
  • Comfortable managing recurring administrative and operational tasks while maintaining consistent quality.
  • Experience using mail merge or similar tools for bulk and targeted communications.
  • Proficiency with Google Sheets, Google Docs, and Google Drive.
  • Familiarity with shared email and customer/vendor communication platforms such as Front, Fin, or equivalent tools.
  • Clear, professional written communication skills, particularly in an email-based working environment.
  • Strong ability to work independently, prioritize tasks, and manage a steady volume of operational requests.
  • Proactive, efficiency-oriented mindset with an interest in identifying opportunities for process improvement and automation.
  • Strong follow-through and reliability when managing records, communications, and deadlines.
  • Experience in vendor management, data management, coordination, localization, or a similar operational environment is a plus.
  • Comfortable working remotely and collaborating with distributed teams.
