We're looking for a Venue Coordinator to join The O2's Venue Management team.
This role sits at the heart of venue operations, helping to coordinate the day-to-day administration behind hundreds of live events each year. You'll support the teams responsible for delivering world-class shows, experiences and special events, ensuring information, documentation and communication are organised, accurate and distributed at the right time.
While there will be opportunities to be involved operationally, this is primarily an administration and coordination role, making it ideal for someone who enjoys keeping people organised, managing multiple priorities and ensuring nothing falls through the cracks.
This opportunity doesn't come around often and is a fantastic time to join The O2 as it approaches its 20th birthday year.
What You'll Be Doing
Supporting Venue Operations
- Provide administrative support to the Venue Management and Production teams, helping to keep events and projects running smoothly.
- Manage shared documentation, duty rotas, promoter packs, briefing materials and event communications.
Coordinating Information & Meetings
- Organise and chair weekly coordination meetings, take minutes and track actions through to completion.
- Act as a key point of contact for internal requests, arena access, site visits and venue tours.
Supporting Senior Stakeholders
- Provide executive support to the Venue Director, including diary management, travel bookings, expenses and meeting administration.
- Manage busy inboxes and ensure key information is communicated quickly and accurately.

Event Planning & Accreditation
- Coordinate event accreditation and help manage access requirements for shows and special events.
- Support event planning meetings and assist with VIP experiences, venue visits and other event activity.
Administration & Financial Support
- Raise purchase orders, maintain accurate records and support contractor administration.
- Ensure event documentation is well organised, up to date and available to the relevant teams when needed.
What We're Looking For
- Experience working in a venue, events, hospitality, entertainment or other fast-paced operational environment.
- Strong administration experience, including diary management, travel bookings, expenses and meeting coordination.
- Experience coordinating multiple stakeholders, departments or external partners simultaneously.
- Experience preparing, managing and distributing operational documentation, schedules, briefing packs or event information.
- Experience organising meetings, taking accurate minutes and tracking actions through to completion.
- Excellent attention to detail with the ability to maintain accurate records, documentation and data.
- Strong Microsoft Office skills, particularly Outlook, Excel, Word, Teams and SharePoint.
- Ability to manage multiple priorities, meet deadlines and remain organised in a fast-moving environment.
- Confidence communicating professionally with senior stakeholders, contractors, clients and internal teams.
