Vice President, Fundraising Operations

About the Role
We are seeking a Vice President, Fundraising Operations to join our Fund Operations function. You will oversee the strategic execution and continuous improvement of new fund launches from inception through final close — combining fund structure establishment, regulatory compliance oversight, and investor lifecycle management. You will be responsible for alternative investment fund set-ups, regulatory notifications, and delivering a seamless investor experience across multiple fund launches.
Key Responsibilities
Fund Structure & Entity Establishment
- Coordinate and oversee the setup and incorporation of fund entities in collaboration with fund counsel, local counsel, and corporate administrators
- Coordinate statutory filings and regulatory notifications for Alternative Investment Funds (AIFs), including CSSF notifications and AIFM setup
- Ensure compliance, accuracy, and timely submission across all regulatory workstreams
Investor Onboarding & Client Experience
- Lead enhancement of investor onboarding workflow, from subscription commitment through account activation (primary and secondary market)
- Coordinate with transfer agent on investor documentation, KYC/AML clearances, and verification processes
- Oversee investor-facing tools and platforms for account management and communication
- Partner with administrators, custodians, and third-party service providers to align on investor-specific requirements and service levels
- Champion continuous improvement initiatives in onboarding systems and client experience tools

Operational Project Management & Leadership
- Direct the end-to-end fundraising lifecycle across multiple fund launches, coordinating across fund counsel, local counsel, administrators, transfer agents, tax advisors, marketing & distribution, and compliance teams
- Lead data input, validation, and reconciliation of fundraising-related data across internal systems
- Support legal and operational negotiations on side letters, investor agreements, and service provider arrangements
- Mentor and develop team members; define processes, ownership, and escalation protocols
Strategic Fund Operations Initiatives
- Lead and collaborate on strategic projects across the Fund Operations organization
- Drive process improvements and operational efficiency enhancements, setting and monitoring KPIs
- Identify organizational capability gaps and recommend solutions (tools, staffing, training)
- Report on fund operations performance and key metrics to senior leadership

Qualifications
- University degree in finance, law, or related field
- 7+ years of relevant experience in fund operations, fund administration, alternative investment fund establishment, or closely related discipline
- Demonstrated experience leading investor onboarding workflows and managing investor-facing tools or platforms at scale (primary and secondary market)
- Knowledge of alternative investment fund structures (SICAVs, SIFs, compartments, etc.) and secondaries markets
- Track record of driving process improvements and operational efficiency initiatives
- Fluent in English (spoken and written)
Highly Valued
- Significant experience in private equity or alternative asset management
- Hands-on expertise with fund administration platforms, investor onboarding tools, and digital KYC solutions
- Experience with legal fund structures
- Knowledge of investor relations and client experience strategy
- Working experience in London, Luxembourg, or other international financial centers with strong regulatory frameworks
- Previous team leadership or mentoring experience
