Viewings & Inventory Associate - Midlands

£28,000 basic salary plus a £4,000 car allowance, 10% annual discretionary bonus, and additional monthly and quarterly incentives of £200 per month and £450 per quarter. The role is 37.5 hours per week, including working 2 in 4 Saturdays with a day off in lieu, plus one late start/late finish each week (11am-7pm).

The Opportunity

I'm currently working with a well-established, private equity-backed residential property business operating within the Build-to-Rent and Single-Family Housing sector. The business has an exciting growth strategy in place and is continuing to expand its portfolio across the UK.

As part of this continued growth, they are looking to appoint a Viewings & Inventory Associate to join their Resident Services team in the Midlands.

This is a customer-facing role suited to someone with experience across residential lettings, property management, estate agency or resident services, who enjoys working directly with customers and taking ownership of the resident journey from viewing through to move-in and beyond.

The Role

Reporting into the Head of Resident Services, you will play a key role in attracting and securing new residents, delivering excellent customer service and ensuring properties are prepared and presented to a high standard.

You will be responsible for conducting viewings, supporting new residents through the lettings process, completing inventories and check-ins, and helping to maintain strong resident retention across the portfolio.

The role would suit someone who is organised, commercially minded, personable and confident dealing with customers, with the ability to work independently and manage multiple priorities.

  • Conduct physical property viewings with a strong focus on converting enquiries into new lets.
  • Record virtual viewings of vacant properties where required.
  • Explain the lettings process, financial obligations and tenancy requirements to prospective residents.
  • Complete detailed property inventories, check-ins and check-outs, including meter readings.
  • Manage holding deposit payments and support the reservation process.
  • Complete check-out inspections and reports, identifying any works required.
  • Coordinate contractors and tradespeople where maintenance or remedial works are required.
  • Demonstrate properties and key facilities to new residents as part of the move-in process.
  • Maintain accurate electronic and manual property records.
  • Keep the lettings/property management CRM fully updated.
  • Support resident retention by identifying potential issues and opportunities to extend tenancies.
  • Identify and escalate anti-social behaviour or resident issues where appropriate.
  • Build positive relationships with residents, local authorities, community groups and other relevant stakeholders.
  • Ensure all activity is carried out in line with relevant legislation, regulation and company procedures.
  • Take ownership of the performance and success of the properties within your portfolio.

What We're Looking For

The ideal candidate will have experience within residential property, lettings, estate agency, property management or a similar customer-facing environment.

You'll need to be:

  • Highly organised with excellent attention to detail.
  • Confident and personable when dealing with residents and members of the public.
  • Commercially aware, with the ability to sell the benefits of a property and convert viewings into lets.
  • A strong communicator with excellent interpersonal skills.
  • Comfortable managing difficult or complex situations.
  • Able to prioritise a busy workload and meet deadlines.
  • Target-driven and motivated by delivering strong results.
  • Confident working independently while also being a strong team player.
  • Proactive, accountable and willing to take ownership.
  • Flexible and adaptable to the needs of the business.
  • Customer-focused with a genuine interest in delivering a positive resident experience.
  • Confident using IT systems and able to quickly learn property management/CRM software.

Essential Requirements

  • Previous experience within residential property, lettings, estate agency, property management or a similar environment.
  • Good understanding of relevant residential legislation, regulations and best practice.
  • Full UK driving licence.
  • Access to your own vehicle, with mileage expenses paid.
  • Strong IT and administrative skills.

Working Pattern

The role will require some flexibility to support residents and accommodate property viewings, including:

  • One late evening per week.
  • One weekend day per month.
  • Flexibility around check-ins, viewings and operational requirements.
