WBM Property Investment Ltd provides architectural design, planning support, and property investment-related services. We work closely with developers, planners, and investors to deliver structured and compliant property solutions. Our workflow requires strong coordination, documentation accuracy, consistent follow-up, and operational discipline.

About the Role

We are seeking a proactive and detail-oriented Virtual Assistant to support daily administrative, recruitment, documentation, CRM, and sales-monitoring activities. The successful candidate will act as an operational support partner to leadership, helping improve efficiency, transparency, follow-up, and workflow control. This role is suited to someone who is organised, tech-savvy, confident in communication, and capable of working independently with a high level of accountability.

Key Responsibilities

Recruitment & Coordination

  • Assist with candidate screening and shortlisting
  • Schedule interviews and internal meetings
  • Send follow-up emails and maintain communication records
  • Track recruitment progress and maintain hiring documentation

Documentation & Administration

  • Edit, format, and organise business documents
  • Prepare reports, presentations, and internal documentation
  • Maintain document version control and structured file management
  • Support general administrative activities

SDR Monitoring & Call Audit — High Priority

  • Monitor SDR call activity and call logs
  • Cross-check SDR activity against assigned leads
  • Verify whether required outbound calls have been completed
  • Maintain call-verification reports and monitoring dashboards
  • Flag discrepancies for management review
  • Maintain clear accountability records

Meeting & Operational Support

  • Shadow leadership during POD and operational meetings
  • Record key decisions, action points, responsibilities, and deadlines
  • Track agreed actions through to completion
  • Follow up with relevant team members
  • Support workflow tracking and document control

CRM & GHL Auditing

  • Review GoHighLevel (GHL) notes, activities, and follow-up records
  • Check whether lead actions are being recorded correctly
  • Identify missing updates, incomplete notes, or inconsistencies
  • Monitor whether required follow-ups have been completed
  • Maintain structured CRM audit and operational reports

General Administrative Support

  • Email coordination
  • Calendar management
  • Internal follow-ups
  • Task tracking
  • Meeting coordination
  • Day-to-day operational support

What We’re Looking For

  • Strong written and verbal English communication skills
  • Good working knowledge of Microsoft 365, including Word, Excel, Outlook, and Teams
  • Excellent organisation and attention to detail
  • Confidence working with reports, systems, and structured processes
  • Ability to handle confidential information responsibly
  • Strong follow-up discipline
  • Self-motivated and comfortable working with minimal supervision
  • Reliable and accountable approach to work
  • Ability to adapt as operational priorities change
  • Confidence learning new systems and software

Employment Terms

  • 3-month probation period

  • Leave entitlement as per company policy
