Company Description

Swinn Leadership Coaching helps scaling businesses build leadership teams that can sustain and accelerate growth. The collective works directly with CEOs and their executive teams at the same time, ensuring leadership changes are embedded across the organization rather than in isolation.

The firm comprises 11 executive coaches, all of whom held senior leadership roles before training as coaches, and operates across a wide range of industries and sectors. Team members have led in organizations such as Gartner, Walgreens Boots Alliance, and Royal Caribbean, and coached leaders at companies including Disney, Amazon, and Google.

Swinn Leadership Coaching provides one-to-one coaching for individual leaders and team coaching for executive teams, focusing on the often-overlooked leadership side of scaling a business.

Role Description

This is a remote, contract Virtual Assistant role supporting Swinn Leadership Coaching’s executive coaches and operations team. The Virtual Assistant will manage calendars, schedule coaching sessions, coordinate meetings across multiple time zones, and maintain accurate records of client engagements.

  • Organizing digital files
  • Preparing and formatting documents and presentations
  • Updating CRM or client tracking systems
  • Managing email inboxes to ensure timely responses and follow-ups
  • Supporting onboarding processes for new clients
  • Compiling reports and summaries from coaching engagements
  • Assisting with basic research and administrative tasks as needed

The role also involves collaborating closely with coaches and internal stakeholders to ensure smooth day-to-day operations and a high-quality client experience.

Qualifications

  • Strong administrative and organizational skills, including calendar management, document preparation, and digital file organization.
  • Proficiency with remote collaboration tools (e.g., video conferencing platforms, shared document systems, task management tools) and comfort working in a fully virtual environment.
  • Marketing experience including editing videos, creating content. Expertise with LinkedIn is ideal.
  • Excellent written and verbal communication skills, with the ability to interact professionally with senior leaders and clients.
  • Experience with basic data entry, CRM or client tracking systems, and maintaining accurate records and reports.
  • Ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail in a fast-paced, growth-focused setting.
  • Demonstrated discretion and confidentiality when handling sensitive client information and leadership-related content.
  • Prior experience as a virtual assistant, administrative assistant, or operations support professional, ideally within professional services, consulting, or coaching environments.
  • Comfort working with global clients across different time zones and adapting to changing schedules and priorities.
