Virtual Assistant, Founder’s Office

Team: Operations
Type: Full-time
Location: Remote (India / overlapping US East and UK)
Job posted: Sep 11, 2026

About The Role

Windmark's founder runs sales, client relationships and delivery oversight across several time zones at once. This role exists so none of it drops. You sit in the founder's office as the second pair of hands on everything that keeps a day moving: client threads, meetings, follow-ups, and the long tail of work items that have no obvious owner.

It is a broad role rather than a narrow one. Some days are scheduling and inbox triage. Others are chasing a client for assets, prepping a brief before a call, or tracking one deliverable across three people until it ships. You will speak to clients in the US, the UK and elsewhere directly, often as the first person they hear from, so how you write and speak matters as much as how you organise.

You report to the founder with no layer in between. That means real context on the business early, and real ownership of what you hold.

What you will do

  • Run the founder's calendar and inbox: schedule across time zones, prepare briefs before calls, and make sure nothing sits waiting on a reply that should have gone out.
  • Act as a first point of contact for clients: answer what you can, chase what we need, and keep threads warm between calls.
  • Own the admin side of meetings end to end: agenda before, notes during, action items tracked after.
  • Track work items that cut across projects, holding a live view of what is due, what is blocked, and who owes what.
  • Prepare documents, proposals, decks and reports from rough inputs.
  • Handle recurring operational work: invoices, onboarding paperwork, tool admin, travel and expenses.
  • Pick up the one-off requests that fit nowhere else, and turn the ones that repeat into a routine.

What we are looking for

  • Experience supporting a founder or an executive, including direct work with international clients.
  • Written and spoken English strong enough to represent the founder in a client thread without being edited.
  • Willingness to overlap with US and UK working hours for part of your day.
  • Evidence you can hold many threads at once: you track your own commitments and follow up without being asked twice.
  • Judgement about what genuinely needs the founder and what you can close yourself.
  • Fluency with everyday tools: Google Workspace, a project tracker, and whatever else the work calls for.
  • Discretion. You will see client contracts, pricing and internal conversations.

Nice to have

  • Time in an agency, studio or another services business.
  • Familiarity with Notion, Slack, Cal.com or similar.
  • Comfort with invoices and light bookkeeping.
  • Experience across different industries rather than a single niche.

Compensation and logistics

  • INR 15,000 to 20,000 per month, depending on experience.
  • Full-time and remote from India, with hours overlapping US East and UK.
  • Reports directly to the founder.

Reasons to use Rodeo

I’m in my final year doing Economics and I don’t know whether to apply for grad schemes now or do a masters first. What do you think?

Honest answer — it depends on where you want to end up. A lot of top grad schemes (Big 4, civil service, banking) don’t need a masters. Let’s look at the ones you’d be competitive for now, and we can decide if a masters actually adds anything.

Also worth knowing: most autumn 2026 applications are open now. Timing matters more than you think.

Start with a chat, not a search bar

Grad scheme, placement, apprenticeship? Not sure what you want yet — that's fine. Your agent talks it through with you and turns "I have no idea" into a shortlist.

From the people inside Windmark.

Team members sharing what they value most about the work, culture, and creative process.

“Every project I run is staffed with experienced people, so I'm never relaying half-answers between a client and a junior. Fewer meetings, more trust, and the work actually ships when we said it would.”

Rishabh Sharma, Technical Project Manager

“I came in expecting the usual 'just ship it' pressure. Instead I get the time to get the details right, and every bit of feedback is about the work, never about looking busy.”

Juhi Kubani, UI Designer

“Lowest-ego team I have worked on. We argue hard in a review, agree the best idea wins, and grab chai right after. Titles never decide anything here.”

Joshua Thakur, Product Manager
