About The Role

The VM POS Coordinator supports the VM POS Manager with the planning, development, delivery and administration of point-of-sale materials across the retail estate. The role helps ensure POS activity is delivered accurately on time and in line with brand standards, commercial priorities and store requirements. Working closely with internal teams and third-party suppliers, the coordinator plays a key role in supporting campaign execution, maintaining critical paths, tracking progress and helping resolve day-to-day delivery issues.

Key Responsibilities

  • Support the VM POS Manager with POS planning and delivery across seasonal campaigns, product launches, promotional activity and business priorities.
  • Coordinate POS activity with Visual Merchandising, Marketing, Buying, Commercial, Store Operations, Procurement and external suppliers to support trading priorities and store execution.
  • Maintain POS critical paths, trackers, production schedules, allocation files and approval logs, ensuring actions and deadlines are clearly captured and followed up.
  • Support the POS lifecycle from brief, artwork and production through to allocation, delivery, implementation and post-campaign review.
  • Check POS artwork, messaging, specifications and store communications for accuracy, consistency and alignment to agreed briefs.
  • Liaise with third-party suppliers on day-to-day requirements, including brief details, quotations, production updates, delivery queries, issue resolution and sample approvals.
  • Track supplier progress against deadlines, flagging risks, delays, quality concerns or cost changes to the VM POS Manager.
  • Support the management of POS budgets, supplier costs, purchase orders, invoices and cost trackers as required.
  • Gather store feedback, campaign information and performance inputs to support review meetings and continuous improvement activity.
  • Help simplify ways of working, reduce rework and improve the consistency of POS execution across stores.
  • Prepare and distribute store communications, implementation guidance and campaign support materials, ensuring stores have clear instructions and required POS materials ahead of launch dates.
  • Maintain POS asset libraries, artwork records, specifications and campaign documentation, ensuring information is current, accessible and accurately version controlled.
  • Coordinate POS allocations and fulfilment requirements, ensuring stores receive correct materials in line with campaign launch dates.
  • Support the coordination and distribution of POS materials across UK and international store estates where required.

KPIs

  • POS tasks and campaign support activities delivered accurately and on time.
  • Critical paths, trackers, allocation files and approval logs kept up to date.
  • Clear and timely communication with internal stakeholders, stores and third-party suppliers.
  • Issues, risks, delays or cost changes flagged early to the VM POS Manager.
  • Positive feedback from the VM POS Manager, store teams and cross-functional partners.
  • Improved accuracy, reduced rework and stronger consistency of POS execution across stores.

About You

  • Experience in point of sale, visual merchandising, retail marketing, store operations, print production, administration or a related retail support role.
  • Experience supporting campaign, POS or project delivery from brief through to implementation is desirable.
  • Experience working with cross-functional teams and/or external suppliers in a retail or fast-paced environment.
  • Experience maintaining trackers, timelines, approval logs, cost records or production schedules.
  • Experience supporting supplier communication, print production, logistics, creative delivery or retail implementation processes is beneficial.

Skills

  • Good understanding of retail store environments, customer journeys, promotional execution and visual merchandising principles.
  • Strong organisational and coordination skills, with the ability to manage multiple tasks, deadlines and stakeholders.
  • Good communication skills, with confidence liaising with internal teams, stores and external suppliers.
  • Developing commercial awareness and the ability to understand how POS supports trading priorities and customer engagement.
  • Strong attention to detail across artwork checks, messaging, specifications, allocations, store communications and implementation guidance.
  • Good supplier coordination capability, including briefing support, progress tracking, issue follow-up and maintaining clear communication.
  • Practical problem-solving skills and the ability to escalate risks or issues at the right time.
  • Confident working with trackers, timelines, cost information and campaign documentation.
  • Good working knowledge of Microsoft Office; experience with project planning, creative workflow or asset management systems is beneficial.
