Ealing Council have an exciting new opportunity as Voids Business Support Officer available on a Permanent basis, working 35 hours a week
About the Role
The Voids Department is responsible for managing properties that become vacant and ensuring they are returned to a safe, compliant, and lettable standard as quickly and efficiently as possible. The team plays a key role in minimising the time a property remains empty, reducing rental income loss, and helping new residents move into quality homes without unnecessary delay.
The Voids Business Support Officer provides essential administrative, operational, and performance support to the Voids Team, helping to ensure vacant properties are returned to a safe, compliant, and lettable standard within agreed timescales. The role is responsible for coordinating processes, maintaining accurate records, monitoring performance and expenditure, and supporting communication between internal teams, contractors, and stakeholders. Through effective planning, reporting, and business support, the postholder contributes to reducing void turnaround times, minimising rental loss, and delivering an efficient and customer-focused voids service.
Responsibilities
As the Voids Business Support Officer you will:
- Provide administrative and operational support to the Voids Team, ensuring processes are completed efficiently and within agreed timescales.
- Maintain accurate records, databases, and housing management systems relating to void properties and associated works.
- Raise, track, and monitor work orders, inspections, and contractor activities throughout the void lifecycle.
- Produce performance reports, monitor key performance indicators (KPIs), and support data analysis to drive service improvements.
- Process invoices, purchase orders, and other financial transactions while monitoring void-related expenditure.
- Act as a key point of contact for internal teams, contractors, and stakeholders, ensuring effective communication and timely resolution of queries.
- Support compliance by maintaining accurate documentation and ensuring required certifications and records are in place.
- Assist with audit activities, quality assurance checks, and continuous improvement initiatives.
- Contribute to reducing void turnaround times, minimising rental loss, and delivering an effective, customer-focused voids service.

Skills and Experience
Essential:
- Experience providing business support, administration, or operational support within a housing, property, repairs, maintenance, or facilities management environment.
- Experience maintaining accurate records, databases, and management information systems.
- Experience monitoring performance data, producing reports, and tracking key performance indicators (KPIs).
- Experience coordinating multiple tasks, stakeholders, and deadlines in a fast-paced environment.
- Experience processing invoices, purchase orders, and expenditure records.
- Experience working with contractors, suppliers, and internal service teams.
- Experience delivering excellent customer service and handling enquiries professionally.
- Self-motivated. Able to use their own initiative to make good business decisions and know when to check in for guidance
- Awareness of social housing performance measures, void turn-around targets and rental loss impacts
Desirable:
- Knowledge of void management processes within social housing.
- Understanding of repairs and maintenance operations.
- Familiarity with housing management systems such as MRI, Northgate, Civica, Orchard, NEC Housing, or similar.
- Understanding of property compliance requirements such as gas safety, electrical testing, asbestos, fire safety, and lettable standards.
