Volunteer Business Systems Developer

Join us as a Volunteer Business Systems Developer to design the digital infrastructure for our IFA Retreat. Build systems for operations, procurement, inventory, staffing, and reporting to support a scalable, transparent, and efficient organisation.

Essential Qualities And Experience

  • 3+ years experience building operational systems using tools such as Airtable, Notion, ClickUp, Monday.com, Odoo, or similar platforms
  • Strong understanding of database design, information architecture, and workflow systems
  • 3+ years experience developing dashboards, reporting systems, and automation workflows
  • Knowledge of procurement, inventory management, project management, or operational systems
  • Ability to document and structure business processes clearly
  • Strong analytical and problem-solving skills
  • Ability to integrate multiple operational areas into one unified system
  • High attention to detail and strong organisational ability
  • Ability to work independently in a volunteer-led, start-up environment
  • Strong communication skills, able to work with both technical and non-technical stakeholders
  • Comfortable working in a mission-driven organisation focused on cultural development and social impact

Desirable experience

  • Experience in hospitality, tourism, construction, or non-profit operational environments
  • Understanding of procurement systems and supply chain workflows
  • Experience with cost control, budgeting, and operational reporting
  • Familiarity with African development projects or cultural organisations
  • Interest in Yoruba culture, Ifa traditions, or heritage-based initiatives
  • Experience supporting scaling organisations from concept to operational delivery

What will you be doing?

The Volunteer Business Systems Developer will design and implement the core digital systems that will support the operational running of the IFA Retreat from development through to full operation.

Working closely with the Operations and Procurement teams, the volunteer will translate operational needs into structured, user-friendly digital workflows and databases.

Key responsibilities include

  • Design and build an integrated management system using platforms such as Airtable, Notion, ClickUp, Monday.com, Odoo, or similar tools
  • Develop centralised databases for
    • Procurement and suppliers
    • Inventory and stock management
    • Staffing and HR records
    • Projects and task management
    • Budgets and operational reporting
  • Create automated workflows for approvals, purchasing, reporting, and operational tracking
  • Build dashboards that provide real-time visibility of operations and performance
  • Design supplier directories and vendor management systems
  • Develop structured inventory tracking systems for retreat operations (construction, hospitality, maintenance, retail, and programming materials)
  • Document business processes and translate them into scalable digital systems
  • Integrate multiple departments into one cohesive operational platform
  • Support the creation of reporting frameworks for accountability and decision-making
  • Recommend and implement system improvements to enhance efficiency and transparency
  • Ensure systems are scalable and adaptable as the retreat grows from planning stage into full operation

The volunteer will play a key role in ensuring that all operational areas are connected, traceable, and efficiently managed through a unified digital infrastructure.
