NHS Greater Glasgow and Clyde (NHSGGC) - Health Records Assistant
NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.
The Role
To support effective clinical care by providing an efficient Health Records service to patients in a ward environment. To ensure patient’s health records are administered and processed accurately and remain confidential.
The post holder will provide cover in multiple wards as and when required. The post holder will be expected to undertake all duties such as reception of patients, answering telephone, appointment booking and maintaining demographic information on the patient management system.
Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.
Duration, Location, and Working Pattern
This is a Greater Glasgow and Clyde-wide post and the successful candidate may be required to work at any location across NHS Greater Glasgow and Clyde. The initial base for this post will be Glasgow Royal Infirmary.
- Permanent Contract
- Full-time Position (36 hours per week) and part-time position available (20.24 hours per week)
- These hours will be worked Monday/Tuesday/Thursday/Friday 8am - 4pm, Wednesday 8am - 2pm for full time and part time hours are Monday 8am - 12.15pm and Tuesday - Friday 8am - 12pm
Key Responsibilities
- Welcome patients, relatives and visitors via the door entry buzzer system (where available) directing them to ward bedrooms ensuring that security, health and safety and infection control measures are understood and adhered to.
- Answer ward telephone calls taking/relaying messages for multidisciplinary team members.
- Provide information concerning the condition of patients to relatives as directed by nursing staff.
- Ensure reception/clerical staff base and waiting areas are maintained in a presentable manner [cleaning of PC’s, telephones and casenote trolley
- Crosscheck bed census white board against TrakCare.
- Pre-admit patients on TrakCare.
- Arrange/request/book out-patient appointments.
- Arrive/Discharge clinic patients.
- Arrange ambulance transport for patients being discharged or routinely transferred to another hospital.

Knowledge, Training, Qualifications, and/or Experience Required
- Knowledge required to undertake the role will be established through relevant in-house training relating to processes and procedures, TrakCare patient information system and stock ordering system with expectation of performing at a fully competent level within a specific time period (tbc).
- Previous clerical/reception experience.
- Previous experience of working with the general public in a customer service environment.
- Good organisational and communication skills.
- Keyboard skills.
- Proficient use of computer systems.
