The Role

To support effective clinical care by providing an efficient Health Records service to patients in a ward environment. To ensure patient’s health records are administered and processed accurately and remain confidential.

The post holder will provide cover in multiple wards as and when required. The post holder will be expected to undertake all duties such as reception of patients, answering telephone, appointment booking and maintaining demographic information on the patient management system.

Duration, Location, and Working Pattern:

  • Location: Based in Inverclyde Royal Hospital
  • Contract Type: Permanent
  • Working Hours: Full-time (36 hours per week)
  • Shift Pattern:
    • Monday/Wednesday/Friday: 0800-1530
    • Tuesday/Thursday: 0800-1600

Key Responsibilities

  • Admit, discharge, and transfer patients on TrakCare computerized Patient Management System (TrakCare).
  • Crosscheck bed census whiteboard against TrakCare.
  • Pre-admit patients on TrakCare.
  • Run system-generated reports and collate information in spreadsheets as required, e.g., Trak discharge list, medical boarders spreadsheet.
  • Arrange/request/book outpatient appointments.
  • Arrive/Discharge clinic patients, liaise with clinical staff to action any follow-up required, and report and DNA.
  • Arrange transport for patients being discharged or routinely transferred to another hospital, medication and supplies, and, in some areas, arrange overnight accommodation for patients and relatives in accordance with agreed protocols.
  • Arrange interpreter services.
  • Request patient casenotes update TrakCare casenote tracking system whenever patient records are received or leave the ward area.
  • Prepares admission packs with all required documentation.
  • Welcome patients, relatives, and visitors via the door entry buzzer system (where available), directing them to ward bedrooms ensuring that security, health, and safety and infection control measures are understood and adhered to.
  • Answer ward telephone calls taking/relaying messages to multidisciplinary team members, distributing correspondence in accordance with agreed procedures such as imaging and test results, discharge letters, etc.

Knowledge, Training, Qualifications, and/or Experience Required

Essential

  • Previous clerical and/or reception experience.
  • Experience of working with the general public in a customer service environment.
  • Good organizational skills.
  • Good keyboard skills.
  • Effective communication skills.
  • Proficiency in the use of computer systems.
