Warehouse Administrator

Purpose of the Role

The Warehouse Administrator is responsible for supporting the efficient day-to-day administration of warehouse and logistics operations, ensuring accurate processing of:

  • Customer orders
  • Stock movements
  • Customer portal activities
  • Logistics coordination

The role requires flexibility to support warehouse operations as required, including undertaking Warehouse Operative duties to ensure continuity of service and operational efficiency during:

  • Periods of absence
  • Increased workload
  • Business demand peaks

Key Responsibilities

Administration and Logistics

  • Manage Amazon orders and related administration in a timely and accurate manner
  • Maintain Amazon Vendor Central activities and communications
  • Observe and update customer portals for:
    • Order accuracy
    • Inventory details
    • Shipment information
  • Coordinate pallet deliveries and general logistics activities to ensure:
    • Efficient dispatch
    • Timely receipt of goods
  • Liaise with:
    • External couriers and delivery partners
    • Suppliers
    • Customers
    • Internal departments to manage deliveries and shipments
  • Assist with booking stock into warehouse systems within agreed deadlines
  • Maintain records and associated spreadsheets for:
    • Dispatch
    • Shipment documentation
  • Investigate and resolve discrepancies relating to:
    • Deliveries
    • Stock movement
    • Inventory issues Escalate unresolved issues as necessary
  • Support stock control and inventory management activities
  • Produce required reports and administrative documentation
  • Collaborate closely with:
    • Customer Service team
    • Warehouse team

Warehouse Operations Support

The role also covers support and Warehouse Operative duties, including:

  • Order fulfilment:
    • Picking and packing customer orders
    • Ensuring customer-specific requirements are met with accuracy
  • Incoming goods process:
    • Receiving and checking deliveries
    • Processing and recording new stock
  • Stock management:
    • Assisting with stock takes and inventory counts
    • Booking deliveries and tracking shipments
    • Organising stock movements internally
  • Operational maintenance:
    • Maintaining warehouse cleanliness and organisation standards
    • Upholding Health & Safety compliance
    • Investigating stock discrepancies
  • Supportive tasks:
    • Assisting Warehouse Manager with operational activities
    • Using warehouse systems, including:
      • Sage 200
      • SAP
      • Scanner technology
  • General warehouse duties to maintain team service levels

Compliance Responsibilities

  • Adhere to MedScience Distribution’s Wholesale Distribution Authorisation (WDA(H)) standards
  • Ensure compliance with Good Distribution Practice (GDP) in:
    • Storage procedures
    • Purchasing protocols
    • Supply and distribution of medicinal products
  • Maintain high service standards for customers and stakeholders
  • Comply with:
    • All Health & Safety requirements
    • Company-specific procedures
  • Confidentiality obligations for company, customer, and supplier data
  • Regular attendance at required training activities

Person Specification

Essential

  • Proven experience in an administrative, logistics, warehouse or operational support role
  • Strong IT proficiency, including proficiency in Microsoft Office applications
  • Experience in using:
    • ERP systems
    • Warehouse Management Systems (WMS)
    • Customer portals
    • Stock management software
  • Exceptional organisational & administrative skills
  • High degree of accuracy and attention to detail
  • Effective verbal & written communication
  • Ability to:
    • Prioritise workloads
    • Meet tight deadlines
    • Work independently and within a team
  • Commitment to flexible support for warehouse operations when required

Desirable

  • Relevant industry experience in:
    • Medical device or **healthcare() distributions() () environments
  • Knowledge of Amazon Vendor Central
  • Proficiency in systems:
    • Sage 200
    • SAP
  • Familiarity with:
    • GDP regulations
    • ISO9001 compliance
