Summary

The Warehouse Administrator supports the day-to-day operation of the warehouse by processing customer orders, stock movements, and shipping documentation accurately and on time. This is a temporary maternity-cover position for approximately 12 months. The role helps maintain inventory accuracy, audit-ready operational records, and effective communication with transport providers, suppliers, customers, and internal teams.


Responsibilities

  • Process customer orders accurately and on time, ensuring all system and operational requirements are completed.
  • Coordinate carrier bookings, collections, dispatch schedules, and shipment tracking to support on-time delivery.
  • Prepare shipping documentation, courier labels, inbound delivery paperwork, and accurate dispatch records.
  • Process stock receipts, transfers, adjustments, and other inventory transactions in WMS and ERP systems.
  • Check inbound deliveries against purchase orders and investigate damaged, missing, rejected, or discrepant stock.
  • Support cycle counts, stock takes, stock discrepancy investigations, and inventory reporting.
  • Maintain accurate, audit-ready warehouse records, filing systems, and system data in line with company procedures.
  • Produce operational KPI reports and performance metrics and provide administrative support to the Operations Manager.
  • Respond to customer enquiries and work with suppliers, transport providers, and internal teams to resolve order, delivery, and stock issues.
  • Support health and safety record keeping and follow warehouse quality, safety, and operational procedures.
  • Assist with picking, packing, and dispatch during busy periods, seasonal peaks, staff absence, or where business needs require support, and perform other duties as assigned.

Requirements

  • Previous experience in warehouse, logistics, or supply chain administration.
  • Strong attention to detail, accuracy, and a methodical and organised approach to work.
  • Proficiency in Microsoft Excel, Word, and Outlook, with experience using WMS and/or ERP systems; Oracle experience is desirable.
  • Good organisational, planning, prioritisation, and time-management skills in a fast-paced warehouse environment.
  • Clear communication skills, a customer-focused mindset, and the ability to build effective working relationships.
  • Reliable, proactive, and self-motivated, with the ability to work effectively both independently and as part of a team; reporting and operational data analysis experience is desirable.

Working Conditions / Physical Requirements

  • Work performed in a warehouse and office environment in Northampton.
  • Regular interaction with the Operations Manager, warehouse team, customers, suppliers, transport providers, and internal teams.
  • Regular computer-based administrative work and occasional physical activity, including picking, packing, dispatch, or handling stock when operational support is required.
  • Flexibility may be required during busy periods, seasonal peaks, or staff absence.
