Warehouse Management System Analyst - WMS Analyst
Role Purpose
The WMS Analyst will act as the internal subject matter expert for the company's Warehouse Management System (Mintsoft), supporting the Fulfilment business that manages stock on behalf of third-party customers. The role is responsible for configuring, optimising, and troubleshooting the WMS, ensuring data integrity, driving process efficiency, and supporting integrations between Mintsoft and other systems (e.g. carriers, marketplaces, customer platforms, ERP/finance systems).
The successful candidate will play a key role in ensuring warehouse systems continue to operate efficiently while supporting business change, system improvements, and new customer onboarding.
This is a hybrid technical/operational role, bridging the warehouse floor, IT, and customer-facing fulfilment operations.
Key Responsibilities
System Administration & Configuration
- Act as the primary in-house administrator for Mintsoft, managing user accounts, permissions, warehouse locations, and system settings.
- Configure and maintain client (customer) accounts within Mintsoft, including product catalogues, pricing rules, and stock rules.
- Manage and maintain integrations between Mintsoft and third-party platforms (e.g. Shopify, Amazon, eBay, courier/carrier APIs, EDI, ERP/accounting systems).
- Own the WMS change control process — testing and implementing system updates, new features, and configuration changes.
Process & Operational Support
- Analyse warehouse processes (goods-in, put-away, picking, packing, dispatch, returns, stock takes) and identify opportunities to improve efficiency using Mintsoft functionality.
- Design and document standard operating procedures (SOPs) for WMS-related processes.
- Work with warehouse operations teams to troubleshoot day-to-day system issues, escalating to Mintsoft support where required.
- Support onboarding of new fulfilment customers, including WMS setup, stock file uploads, and integration testing.

Data & Reporting
- Ensure stock accuracy through regular audits, cycle counts, and reconciliation between Mintsoft and customer/financial records.
- Build and maintain reporting dashboards (KPIs such as pick accuracy, order turnaround time, stock discrepancies, SLA adherence).
- Investigate and resolve stock discrepancies, working with warehouse teams to identify root causes.
- Provide data extracts and analysis to support customer reporting and internal business reviews.
Stakeholder & Vendor Management
- Act as the key liaison with Mintsoft support/account management for bug fixes, feature requests, and system upgrades.
- Support internal stakeholders (Customer Service, Finance, Operations) with WMS-related queries.
- Communicate system changes, downtime, or new features to relevant teams.
Continuous Improvement
- Stay current on Mintsoft product updates and new features, assessing their relevance to the business.
- Identify automation opportunities to reduce manual processes (e.g. automated stock replenishment rules, order routing logic).
- Support wider fulfilment system strategy, including evaluation of complementary tools or future WMS requirements as the business scales.
Essential Skills & Experience
- Proven experience working with a Warehouse Management System (Mintsoft experience highly desirable but not essential).
- Experience in a 3PL, fulfilment, e-commerce logistics, or multi-client warehouse environment.
- Strong understanding of warehouse operations (inbound, outbound, inventory control, returns).
- Confident working with data — Excel/Google Sheets to an advanced level (VLOOKUPs, pivot tables); SQL knowledge a strong advantage.
- Experience with system integrations (APIs, EDI, or middleware platforms) and troubleshooting integration issues.
- Strong analytical and problem-solving skills, with attention to detail.
- Excellent stakeholder communication skills — able to translate technical issues for non-technical audiences.

Desirable Skills & Experience
- Direct hands-on Mintsoft administration experience.
- Familiarity with courier/carrier platforms and marketplace integrations (Shopify, Amazon Seller Central, eBay, etc.).
- Experience with Power BI, Tableau, or similar reporting/BI tools.
- Understanding of ERP or finance system integration (e.g. Xero, Sage, NetSuite).
- Project management experience (system implementations, customer onboarding projects).
Personal Attributes
- Highly organised, with the ability to manage multiple customer accounts and priorities simultaneously.
- Comfortable working both at a desk with data and on the warehouse floor with operational teams.
- Proactive, curious, and keen to drive continuous improvement.
- Calm under pressure, particularly during peak trading periods.
What Success Looks Like (First 6–12 Months)
- Full working knowledge of the company's Mintsoft configuration and integrations.
- Documented SOPs for core WMS processes.
- Measurable improvement in stock accuracy and/or order processing efficiency.
- Established as the go-to internal resource for WMS-related queries across Operations, Customer Service, and Finance.
