The Role

We are looking for an experienced and highly organised Warehouse Manager to take responsibility for the day-to-day management of Provision Events’ warehouse, equipment, assets and associated logistics.

Reporting to the Production Manager, you will play a key role in ensuring that all equipment and resources required for our events are available, maintained, prepared and delivered on time.

You will have overall responsibility for the efficient running of the warehouse, including asset management, stock control, maintenance, storage, picking, packing, preparation and loading of equipment for events, as well as the checking, unloading and return of equipment following events.

The Successful Candidate Will Be:

  • An experienced warehouse, logistics or operations professional with strong organisational and practical skills.
  • Confident taking ownership of a warehouse function and ensuring it operates efficiently and professionally.
  • Highly organised, with the ability to manage multiple projects, deadlines and competing priorities.
  • A proactive problem solver who plans ahead and identifies potential issues before they affect an event.
  • A confident leader who can manage, motivate and support warehouse staff and temporary or freelance crew.
  • Practical and hands-on, with a willingness to get involved when required.
  • Detail-focused, particularly when managing equipment, kit lists, stock and asset movements.
  • A strong communicator who can work effectively with Production Managers, suppliers, drivers and project teams.
  • Calm under pressure and able to adapt quickly when event requirements or schedules change.
  • Commercially aware, with an understanding of the importance of controlling costs, reducing waste and making efficient use of company assets.
  • Someone who takes pride in maintaining a safe, clean and well-organised warehouse.
  • Honest, straight-talking and respectful in their approach to others.
  • Someone who takes responsibility for getting the job done rather than waiting to be directed.

You Will Also Need:

  • Proven experience in a warehouse, logistics, events or operational management role.
  • Experience managing warehouse teams or supervising other staff.
  • Experience managing stock, equipment or company assets.
  • Strong organisational and planning skills.
  • Good IT skills, including Microsoft Office and Excel.
  • Experience working with inventory or asset management systems would be advantageous.
  • Experience with event equipment, production equipment or similar assets would be advantageous.
  • A good understanding of warehouse health & safety and manual handling requirements.
  • Experience planning vehicle movements, deliveries and collections would be advantageous.
  • A valid UK driving licence.
  • Confidence driving larger vehicles, with the ability to drive a Sprinter van as a minimum.
  • Forklift experience and/or a valid forklift qualification would be advantageous.
  • The physical fitness required to undertake practical warehouse work, including loading and unloading vehicles.
  • Flexibility to work occasional evenings and weekends when required by the event schedule.
  • Willingness to travel to events or work away from home when required.

Responsibilities

Warehouse Management

  • Take overall day-to-day responsibility for the efficient running of the Provision Events warehouse.
  • Ensure the warehouse and yard area is clean, organised, secure and operated safely at all times.
  • Plan and manage warehouse activity around the company's schedule of events.
  • Organise warehouse priorities to ensure equipment is prepared and available when required.
  • Manage incoming deliveries and ensure equipment and materials are correctly received, checked and stored.
  • Maintain clear and organised storage systems to maximise the efficient use of warehouse space.
  • Identify opportunities to improve warehouse organisation, efficiency and processes.
  • Ensure warehouse equipment, tools and facilities are maintained and kept in good working order.

Asset Management

  • Take responsibility for the day-to-day management and upkeep of Provision Events' equipment and assets.
  • Maintain accurate records of equipment and asset movements.
  • Ensure equipment is checked before being dispatched to events and following its return.
  • Identify damaged, missing or faulty equipment and ensure appropriate action is taken.
  • Coordinate repairs, maintenance and servicing of equipment where required.
  • Ensure equipment is cleaned, maintained and returned to the correct storage location following use.
  • Carry out regular stock checks and asset audits.
  • Monitor the condition and usability of assets and highlight replacement or investment requirements to the Production Manager.
  • Help ensure Provision Events' assets are used efficiently across multiple projects.

Event Preparation

  • Review upcoming event schedules and production requirements with the Production Manager.
  • Translate project requirements and kit lists into clear warehouse actions.
  • Coordinate the picking, packing, preparation and checking of equipment for each event.
  • Ensure all required equipment is available and in suitable condition before dispatch.
  • Identify missing equipment or potential issues early and communicate these to the relevant Production Manager.
  • Organise and oversee the loading of vehicles for events.
  • Ensure equipment is loaded safely, securely and logically to support efficient unloading on site.
  • Ensure all equipment leaving the warehouse is accurately recorded.

Logistics & Operations

  • Coordinate logistics requirements with the Production Manager and wider production team.
  • Assist with planning vehicle movements, deliveries and collections around the wider schedule of events.
  • Book or coordinate appropriate logistics providers where required.
  • Work with drivers, hauliers and suppliers to ensure equipment arrives at the correct location at the required time.
  • Prepare equipment and relevant documentation for transportation.
  • Support the management of Carnets and other documentation required for international movements.
  • Identify opportunities to combine deliveries, collections and vehicle movements to improve efficiency and reduce unnecessary costs.
  • Ensure company vehicles are appropriately maintained, checked and prepared for use.

Post-Event Returns

  • Coordinate the return of equipment to the warehouse following events.
  • Oversee the unloading of vehicles and ensure equipment is checked against relevant kit lists.
  • Identify missing, damaged or faulty equipment and ensure this is recorded and reported.
  • Coordinate cleaning, repairs and maintenance following events.
  • Ensure returned equipment is correctly recorded and returned to its designated storage location.
  • Ensure equipment is ready for its next scheduled use.

Team Management

  • Coordinate permanent (in time), temporary and freelance warehouse support when required.
  • Allocate work clearly and ensure tasks are completed to the required standard and timescale.
  • Support recruitment and onboarding of new warehouse staff where required (permanent and freelance).
  • Train team members in warehouse procedures, equipment handling and Provision Events' standards.
  • Ensure the team follows appropriate health & safety procedures.
  • Provide support, guidance and feedback to team members to encourage development and high standards.
  • Build a reliable and capable roster of reliable freelance support.

Health & Safety

  • Take responsibility for maintaining high standards of health & safety within the warehouse.
  • Ensure appropriate warehouse procedures are followed by all staff and visitors.
  • Maintain appropriate records and documentation.
  • Identify and report potential risks and implement corrective actions where appropriate.
  • Ensure equipment is stored and handled safely.
  • Work with Production Managers and relevant project teams to ensure equipment and logistics activity supports wider project health & safety requirements.

Production & Project Support

  • Work closely with Production Managers to understand project requirements and ensure the warehouse is fully prepared to support them.
  • Provide practical input into production planning where warehouse, equipment or logistics requirements need consideration.
  • Highlight potential resource, equipment or logistics issues at an early stage.
  • Support production teams with urgent requirements and problem solving during busy periods.
  • Attend site or events where warehouse and logistics support is required.
  • Maintain strong communication between the warehouse and production teams throughout the project lifecycle.

Process & Continuous Improvement

  • Develop and maintain efficient warehouse processes and systems.
  • Identify opportunities to improve the way Provision Events stores, prepares, transports and maintains its assets.
  • Help improve asset tracking, stock control and warehouse reporting.
  • Reduce unnecessary equipment movement, loss, damage and wastage.
  • Contribute to developing best practice across the UK operations function.
  • Work with the Production Manager to ensure warehouse processes continue to support the growth of the UK business.
