Job Description

Location
Remote (UK-based)

Hours
7 hours per week (flexible)

Job Purpose
To manage, maintain, and develop the Independent Federation for Safeguarding website and members portal, ensuring both platforms remain secure, compliant, user-friendly, and responsive to the needs of members and stakeholders.

The post holder will provide ongoing technical and administrative support for the organisation's digital platforms, oversee content management, support member engagement through the portal, and contribute to the continued development of AI-assisted systems and processes.

Key Responsibilities

Website Management

  • Maintain and update website content, ensuring information remains accurate, current, and relevant.
  • Monitor and maintain website functionality, performance, and accessibility.
  • Manage website hosting, domain settings, and associated services.
  • Implement website improvements and enhancements as required.
  • Ensure website security measures are maintained and regularly reviewed.
  • Coordinate with external suppliers and service providers where specialist support is required.

Members Portal Administration

  • Manage member accounts, permissions, and access controls.
  • Support member onboarding and resolve portal access issues.
  • Monitor portal functionality and user experience.
  • Maintain resources, training materials, and member communications within the portal.
  • Monitor the member discussion features of the members portal.
  • Maintain the dashboard and produce reports relating to portal usage and member engagement.

Digital Systems and Development

  • Support the ongoing development of AI-enabled systems and automated processes.
  • Identify opportunities to improve efficiency through digital technologies.
  • Assist in testing and implementing new features and functionality.
  • Maintain appropriate system documentation and user guidance materials.

Data Protection and Cyber Security

  • Ensure compliance with UK GDPR and other relevant data protection legislation.
  • Support compliance with website accessibility standards and best practice.
  • Maintain secure handling and storage of digital information.
  • Monitor and report any data security concerns or incidents.
  • Make the CEO, Senior Leadership Team and Board of Trustees aware of data breach risks and any actual data breaches.
  • Support the COO in making plans and taking action to mitigate the risk of data breaches.
  • Implement appropriate safeguards to protect personal and organisational data.
  • Ensure compliance with data protection legislation and organisational policies relating to information security.

Support and Communication

  • Provide first-line support for website and portal users.
  • Respond to queries from members and staff relating to digital systems.
  • Work collaboratively with colleagues and stakeholders to support organisational objectives.
  • Attend meetings as required.

General Responsibilities

  • Contribute to the continuous improvement of organisational systems and processes.
  • Undertake any other duties commensurate with the grade and nature of the post.
  • Promote and uphold the values, policies, and objectives of the Independent Federation for Safeguarding.

Person Specification

Qualifications

Essential

  • Level 4 qualification (or above) in Information Technology, Web Development, Computer Science, Digital Technologies, Cyber Security or a related discipline, or equivalent demonstrable professional experience.
  • Evidence of ongoing professional development in digital technologies.

Desirable

  • Degree (Level 6) in a relevant subject.
  • Relevant professional certifications in web management, cyber security, Microsoft 365, AI, or data protection.
  • UK GDPR/Data Protection training or certification.

Knowledge and Experience

Essential

  • Experience of administering and maintaining websites and online platforms.
  • Experience using Content Management Systems (CMS).
  • Experience managing user accounts and permissions.
  • Understanding of website security and cybersecurity principles.
  • Knowledge of UK GDPR and data protection requirements.
  • Experience of troubleshooting technical issues and liaising with service providers.
  • Experience working independently and managing competing priorities.

Desirable

  • Experience administering membership management systems or member portals.
  • Experience of AI-assisted website development and management.
  • Experience of working within a membership organisation, charity, education, safeguarding, or professional standards environment.
