Job Description
We are currently recruiting for 1 x Weekend Document Production and Workflow Specialist (Night Shift). Applicants must commit to one of the available shifts:
- Tuesdays to Saturdays (21:00–05:00)
- Saturdays and Sundays (21:00–05:00)
- Wednesdays to Fridays (19:00–03:00, 20:00–04:00, or 21:00–05:00)
Please only apply if you are fully available for the shift you are applying for. This is a full-time, permanent position. Due to operational needs, this role is recognised as primarily remote, with occasional office-based requirements in the Newcastle office.
The Role
This position supports the GBS Document Production (GBS DP) team by delivering high-quality document production (DP) and legal administration services to partners and fee earners across all global offices.
You will:
- Offer first-class professional documentation support via workflow and customer service.
- Ensure efficient, accurate workflows while championing quality consistency.
- Liaise with shift colleagues to guarantee timely work acknowledgement.
- Accurately input and administer workflow management tools, including ServiceNow (SNOW).
Key Responsibilities
Document Production/Workflow & Administration
- Provide high-quality DP services, including:
- Crafting legal documentation using Clifford Chance templates or bespoke formats (MS Word, PowerPoint, Excel, Adobe PDF).
- Conducting document health checks, cleaning, and conversions.
- Creating graphics/charts and performing document conversions.
- Handling Offering Circulars, Legal Review Reports, Client Briefings, Technical Bulletins, Mail-Merge, and CTAs.
- Ensuring cross-reference accuracy, revisions, amendments, comparisons/blacklining, copy typing, and audio typing.
- Prioritise tasks based on SNOW agreements/deadlines, demonstrating strong work understanding for all DP and workflow duties.

Operational workflow oversight:
- Accurately log all relevant information (personal time tracking, estimations, deadlines, document security) in SNOW.
- First-level support for client/team queries. Escalate to GBS Management as needed or liaise across shifts.

iManage collaboration: Retrieve/delete documents as required.

Evaluate tasks for high-quality delivery, allocating work to Specialists as needed.

Maintain best practice adherence at all times.

Internal Liaison across offices:
- London, Newcastle, Delhi, Hyderabad, and Virtual Assistant Teams (including London and India EAs/TAs).

Client-facing responsibilities:
- Work directly with clients to agree deadlines and manage communications—updating SNOW with project details.

Employ software expertise across GBS applications and troubleshoot workflow challenges.
Team Support

Collaborate with the Weekend GBS Shift Manager during peak periods, addressing incidents, complaints, and bottleneck identification.

Foster effective global communication with colleagues.

Complete ad-hoc requests from GBS Management.
Client Services

Deliver exceptional customer service, coded by proactiveness, friendliness, efficiency, and professionalism.

Serve as the primary point of access for client-submitted tasks.

Ensure timely, consistent communications.

Oversee GLB Exceptional Access/SPM requests.
-
Capture and log information accurately in SNOW or ad-hoc documents/databases.
Qualifications
Your Experience
- Must-Haves
- Excellent copy and audio typing speed.
- Intermediate Microsoft Outlook competence.
- Up-to-date knowledge and certification of Microsoft Office 365 (especially Word, PowerPoint, Excel).
- Preferably Microsoft Office Specialist (MOS) Certified (Associate level).
- Intermediate Adobe Acrobat and Adobe Suite understanding.
- Solid experience in a corporate professional services environment.
- Minimum GCSE/O-level-equivalent education.

- Essential Soft Skills
- Exceptional communication (clarity, persuasion, sensitivity) for lawyers, partners, PAs, trainees, paralegals, and support staff.
- Ability to exercise initiative/judgement autonomously.
- Strong track record of meeting deadlines, prioritising workloads, and working under pressure—especially independently or during deal closures.
- Ideally relevant DP experience, with a legal industry background being advantageous.
