Front of House/Admin Assistant
Your Role: Front of House/Admin Assistant
As a Front of House/Admin Assistant, you will be a welcoming and professional first point of contact for visitors, guests and colleagues at our Leicester Square and Holborn offices. You will help keep reception running smoothly, while providing administration and event support to the wider business.
Key Responsibilities
- Welcome visitors and guests: Greet visitors, VIPs and colleagues professionally, support sign-in through Envoy, and ensure relevant visitor requirements, including NDAs, are completed.
- Manage reception operations: Support the efficient day-to-day running of the Leicester Square and Holborn reception desks, including issuing security passes, setting daily Wi-Fi passwords and responding to routine queries.
- Provide administration support: Maintain meeting-room booking systems, manage shared documents and spreadsheets, complete event-related data entry, and communicate updates to relevant teams.
- Support events and collaboration: Coordinate in-house event bookings with hosts, maintain the events log, and work closely with Workspace, Security, Facilities and other teams to resolve issues promptly.

What Success Looks Like
In your first few months, you’ll have:
- Built confidence in welcoming and assisting visitors, guests and VIPs.
- Developed a strong understanding of reception, security and building processes across both sites.
- Managed meeting-room bookings, visitor information and administrative tasks accurately.
- Built effective working relationships with the Front of House, Workspace, Security, Facilities and Events teams.

What You’ll Need
- Customer service skills: A friendly, professional and approachable manner with a focus on making visitors and colleagues feel welcome.
- Organisation and attention to detail: The ability to manage varied tasks, keep information accurate and prioritise effectively in a busy environment.
- Communication skills: A confident telephone manner and the ability to communicate clearly with people at all levels.
- Administration skills: Experience providing administrative support, with confidence using office systems including Word and Excel. Experience using a Mac would be beneficial.
- Initiative and teamwork: The ability to work independently when needed, while collaborating positively with colleagues across the business.
- Adaptability: A calm, practical approach to resolving routine issues and responding to changing priorities.
