Administration Volunteer for Over-60s Wellbeing Groups

Use your administration and Excel experience to support our weekly over-60s wellbeing groups. You will maintain accurate attendance and confidential records, update spreadsheets and prepare management information, helping our growing services run smoothly.

What difference will you make?

Accurate records and management information help us understand attendance, plan appropriate activities and operate our over-60s groups effectively.

The volunteer’s support will improve consistency across our three locations and allow the Wellbeing Services leads to spend more time supporting attendees and developing the service. Their administration and Excel experience will also help us monitor the groups’ impact and manage their continued growth.

What are we looking for?

We are looking for a reliable, patient and well-organised volunteer with at least three years’ professional experience in administration or office management.

The most important requirement is the ability to maintain accurate records and spreadsheets while handling confidential and sensitive information appropriately.

Essential Skills And Experience

  • At least three years’ practical professional experience in administration or office management.
  • Good working knowledge of Microsoft Excel, including maintaining spreadsheets, organising information and producing reports.
  • Experience of maintaining accurate records and handling personal or confidential information.
  • A good understanding of confidentiality and data protection.
  • Strong attention to detail and the ability to identify missing or inaccurate information.
  • Good organisation and time-management skills.
  • Clear, respectful communication and confidence engaging with older people.
  • Reliability and the ability to attend regularly at an agreed group location.
  • Ability to work independently while also collaborating with the Wellbeing Services team.

Experience of working or volunteering with older people, community groups, charities or wellbeing services would be helpful but is not essential.

The volunteer should also be comfortable providing occasional practical support during group sessions, including helping with activities, refreshments and light setup or pack-away tasks. Reasonable adjustments can be considered where required.

What will you be doing?

Supporting Humanity runs three successful weekly groups for people aged over 60 at Belgrave Community Centre in Ilford, Katherine Road Community Centre and Durning Hall in Forest Gate.

The groups give attendees an opportunity to meet others, build friendships and participate in physical and creative activities. As the groups have grown, we now need an experienced volunteer to strengthen the administration supporting these services.

Working with our Wellbeing Services leads, Zulfikar Ali and Sofia Bhatti, the volunteer will:

  • Register attendees at the over-60s groups.
  • Maintain accurate and confidential attendee and medical information.
  • Update and manage the central Excel spreadsheet.
  • Check information for accuracy and completeness.
  • Produce clear management information about attendance and service activity.
  • Support the organisation of group activities.
  • Help set up and pack away the facilities when required.
  • Engage positively with group attendees.
  • Assist with preparing and serving refreshments when needed.

Administration, record management and reporting are the main focus of the role. The practical group-support duties will help the volunteer understand the service and build positive relationships with attendees.

This is an ongoing, on-site role requiring at least four hours per week across our local wellbeing services.
