Nova of London, established in 1981, is a leading UK wholesaler of women’s fashion, with a strong presence in East London and Manchester. The company designs and supplies a wide range of dresses, skirts, tops, jumpsuits, jeans, coats, and more to high street and independent retailers. An in-house London design team creates original, on-trend, and affordable collections, complemented by sourcing from Italy, China, and the UK. With over 40 years of industry experience, Nova of London offers a reliable one-stop-shop wholesale solution, including next-day delivery and continually updated lines throughout the seasons. The business also operates its own design-led labels such as QED London, Wild Flower, and Misumi, focusing on distinctive, wearable styles for commercial buyers.

Role Overview

We are seeking an organised, detail-oriented Wholesale E-commerce Assistant to support the day-to-day operations of our growing B2B digital channels. In this role, you will act as a crucial link between our wholesale team, inventory systems, and digital platforms.

Key Responsibilities

Catalog Maintenance & Product Uploads

  • Upload and launch new wholesale products across our e-commerce platforms, including creating descriptions, setting pricing, and linking product imagery.
  • Audit the live website daily to take sold-out or discontinued products off the frontend to prevent bulk overselling.
  • Ensure accurate pack sizes, and wholesale pricing structures are correctly applied to listings.

  • Source, pack, and send physical product samples from inventory to the studio or external photographers for upcoming content shoots.
  • Keep a meticulous tracker of all outgoing samples, ensuring they are logged, returned, and accounted for in inventory.
  • Work closely with the production or creative team to ensure they have the exact product variants needed for marketing schedules.

Spreadsheet & Data Management

  • Maintain internal inventory logs, SKU lists, and master spreadsheets with 100% accuracy.
  • Track product availability dates and update internal sheets so the wholesale sales team knows exactly what is coming into stock.
  • Assist with formatting data and updating bulk information using CSV files.

Required Skills & Qualifications

  • Experience: 1+ years of experience in e-commerce administration, retail support, or an inventory/administrative role. Shopify experience is preferred and use of applications such as Canva or Mailchimp is also preferred.
  • Tech Savvy: Strong familiarity with Microsoft Excel or Google Sheets (filtering data, basic formulas, and managing clean lists).
  • Organisational Skills: Exceptional organisational ability with a proven track record of managing physical items (like samples) alongside digital data.
  • Detail-Oriented: A strict eye for precision—small typos in pricing or SKU codes can impact large wholesale transactions.
  • E-commerce Familiarity: Prior experience with an online store backend (e.g., Shopify, WooCommerce, Magento) is highly preferred but not mandatory if you learn software quickly.
  • Experience in wholesale and fashion is beneficial
  • A Positive mind-set with hands-on approach and strong team ethos.
  • A desire to see things through and make things happen quickly and effectively.
  • An ability and willingness to work cross-functionally across the brand.
  • A willingness for continuous improvement in the role, and a desire to develop yourself.
  • Adaptable attitude with a willingness to assist on ad-hoc company needs.
