Works Project Administrator
SP Energy Networks, Hamilton International Technology Park, Blantyre. G72 0HT
Salary: from £34,040

Purpose
As a Works Project Administrator, you will be at the heart of project delivery, providing essential administrative and project support to the business.
You will build positive relationships with external customers and contractors, helping to coordinate activities, maintain effective communication, and support the successful delivery of key projects.
Responsibilities
The Works Project Administrator plays a vital role in supporting the day-to-day operations of the business, providing a wide range of administrative and project support activities.
- Conducting office Health & Safety walkarounds and completing associated documentation
- Supporting the onboarding process by arranging security passes for new agency employees through access control and returning passes for leavers
- Maintaining the fleet vehicle tracker while coordinating pool vehicles and requesting telematics cards for new employees
- Monitoring the Customs mailbox, reviewing documentation, and submitting information to Cardinal
- Monitoring the SPT Strategic and Project Support mailboxes and actioning all requests
- Conducting utility searches for Substation projects and coordinating additional requirements with external contractors
- Raising Purchase Orders through SAP and IBUY for PPE, stationery, and Sub Station keys
- Reviewing Smart Key authorisation certificates to ensure the correct level of access before registering and issuing Smart Keys to both internal employees and external contractors
- Coordinating archiving activities, including the uplift of archive boxes and confidential shredding bags
- Ordering mobile phones for SPT staff through the IT Mobile Phones Service Request process
- Maintaining accurate records of all IT equipment and mobile phones issued and returned
- Ordering and distributing Personal Protective Equipment (PPE) and first aid supplies
- Arranging stationery orders for the office
- Arranging courier collections to and from the office
- Booking hotel accommodation and travel through the SAP Concur travel system
- Maintaining printers, including paper and toner supplies and arranging the collection of empty cartridges
- Providing support call taking during storm events if required
- Maintaining office noticeboards with alerts, fire, and first aid information
- Acting as Administrator for Kadence
- Carrying out daily office inspections

What You’ll Bring
For this role, you will bring a Business Management or Administration qualification, with SAP experience preferred, alongside strong administration skills and experience using Microsoft Office applications, including Word, Excel, and PowerPoint.
- Excellent planning, organizational, and communication skills
- Ability to communicate effectively at all levels of the business
- Proven ability to work successfully within a team environment
- Enthusiastic and flexible individual with good customer service skills
- Strong planning and organizing abilities
- Working knowledge of SP Energy Networks policies, procedures, and working practices
- Understanding of Health, Safety, and Environmental legislation
- Experience in a multi-stranded project support or coordination role
- Significant office administration experience
- Educated to GCSE level or equivalent
- Computer literate and confident using the Microsoft Office suite
