Workforce Planning Coordinator

Permanent, 40 hours per week (office based)

Esholt, West Yorkshire, BD17 7RH

£30k per annum

Behind every great clinic is great planning – and that is where you come in.

We are looking for a highly organised, analytical and people-focused Workforce Planning Coordinator to join our team.

You will play an important role in making sure we have the right level of cover across our practices for our Optometrists, Audiologists, Dispensing Opticians and wider practice teams.

You will work closely with our Senior Leadership Team, People Team, Practice Managers and our locum community to make sure our clinics are planned effectively, staffing gaps are identified early and our teams have the support they need to deliver an outstanding client experience.

This is a role where no two days will be the same. One minute you could be planning clinic cover three months ahead, the next you will be solving a last-minute staffing challenge or speaking with a locum about where they would like to work.

If you enjoy planning, problem-solving, working with people and making sense of data (spinning plates!!), this could be the role for you.

What will you be doing?

Once fully trained, you will take responsibility for a wide range of workforce planning and coordination activities, including:

  • Building excellent relationships with our locums and becoming their key point of contact at Bayfields.
  • Working closely with Practice Managers to make sure clinics are distributed effectively across the week and month.
  • Making sure our practices have the right level of team cover to deliver Obsessively Great Service.
  • Working with the People Team to ensure our people systems and records are accurate and up to date.
  • Managing and monitoring our locum budget.
  • Forecasting our staffing requirements up to three months in advance.
  • Identifying potential staffing gaps before they become a problem.
  • Responding quickly and confidently when additional clinics or cover are required.
  • Keeping planning information, rotas and supporting documentation accurate.
  • Using Excel and other systems to analyse information and support workforce decisions.
  • Working with our Senior Leadership Team to provide accurate workforce planning information and insight.
  • Helping us continually improve the way we plan and manage our teams across the group.

Who are we looking for?

We are not necessarily looking for someone who has worked in optics before.

In fact, this role could be perfect for someone with experience in:

  • Recruitment or Talent Acquisition
  • Recruitment Coordination
  • Appointment or Diary Management
  • Workforce or Resource Planning
  • Scheduling or Rota Coordination
  • Operations Coordination
  • Healthcare administration
  • Customer service coordination
  • A busy administration role where you've had to manage lots of information and competing priorities

You will be someone who:

  • Is highly organised and exceptionally detail-focused.
  • Can manage lots of information without losing track of the important details.
  • Enjoys working with numbers, data and Excel.
  • Is confident speaking to people on the telephone and communicating professionally by email.
  • Can build strong relationships with colleagues, Practice Managers and locums.
  • Is comfortable juggling multiple priorities.
  • Can think on your feet and solve problems when plans change.
  • Is proactive and doesn't wait for someone else to spot a problem.
  • Is confident using Microsoft Office, particularly Excel.
  • Takes pride in getting things right.
  • Enjoys working in a fast-paced environment where things can change quickly.

GCSE and A-Level Maths would be desirable, but we are more interested in your ability to work with numbers, data and information accurately.
