Role Description
Join our Team as a Workforce System Administrator
Location:
Hybrid working based at our Head Office in Leatherhead, three days a week with potentially some travel to other SeeAbility locations.
Salary
£30,000 per annum plus SeeAbility benefits

About The Role
At the start of 2027 SeeAbility will be rolling out a new workforce management software, Deputy. A market leader in offering digital rota solutions Deputy will support more efficient, cost effective and person-centred rostering across our 63 services. The Deputy Software Administrator will play a key role in making this happen, helping colleagues use the system confidently and ensuring our rotas, timesheets, reporting and integrations are accurate, reliable and as always aligned to the needs of the people we support.
The roll out of this software is a key milestone in our Digital Transformation Strategy.
You will support day-to-day administration of Deputy across SeeAbility’s sites, working closely with HR, Payroll, Finance, IT partners and local service managers. This is a practical, hands-on role for someone who enjoys solving problems, improving processes and helping others get the best from digital systems.
What You'll Be Doing
- Administer and maintain Deputy user records, locations, areas, roles, access permissions and system settings.
- Support the creation, maintenance and monitoring of roster templates across services, helping managers build compliant and cost-effective rotas.
- Provide responsive support to managers and colleagues, troubleshooting day-to-day system queries and escalating technical issues where required.
- Support in maintaining accurate configuration for contracted hours, working patterns, pay rules, overtime, leave, sickness, training requirements and compliance checks.
- Support integrations and data flows between Deputy and SeeAbility systems, including Cascade, payroll, recruitment, agency and reporting systems where applicable.
- Work with Operations colleagues to improve consistency of rostering practice across residential, supported living and specialist services.
- Support system testing, user acceptance testing, change requests, release updates and implementation activity during the build and roll out of Deputy.
- Help develop guidance, training materials and communications for new starters, managers, digital champions and colleagues who are less confident with technology.
- Promote accessibility and safe use of the system across SeeAbility.

What you'll bring
- Experience of administering a workforce management, rostering, HR, payroll or similar business system.
- Strong attention to detail and confidence working with employee, rota and reporting data.
- Good problem-solving skills, with the ability to diagnose issues, identify practical solutions and explain them clearly to others.
- Confidence supporting system users with different levels of digital confidence, including frontline colleagues and managers.
- Good understanding of data governance, permissions, confidentiality and the importance of accurate audit trails.
- Ability to work collaboratively with Operations, HR, Payroll, Finance and IT colleagues.
- Strong written and verbal communication skills.
