Job Description
As the Estates Workplace Apprentice / Officer you will be part of the onsite Regional Estates Team with responsibility for the smooth running of the Regions Government Hub and its Regional Offices and Specialist Sites. You will be a key figure in responding to customer queries about the buildings, whether that be escalating building faults, reporting Health and Safety issues or supporting our building users to make the most of the Government Hub and it's spaces.
You will provide a high level of customer service by building strong relationships with our customers (building users) and monitoring building issues, escalating where necessary. As your knowledge of the building grows, you will influence customer experience with your knowledge, skills and behaviours.
You will be highly visible to our customers (building users), carrying out regular building inspections, liaising with customers and effectively communicating and resolving their queries. The post holder will need to deliver in all aspects of this key role, including;
- Managing the Regional Estates Team communication platforms, including their Mailbox, Viva Engage, and face to face.
- Reviewing and updating the buildings A-Z and Building Directory to ensure these are maintained with accurate building information.
- Carrying out inspections across our buildings to assure standards are maintained and support H&S building inspections.
- Carry out building inductions for new starters to the Government Hub.
- Act as secretariat for the Regions Building House Committees, Health and Safety Committees and Team Meetings.
- Procurement of stationery, health and safety stock and other work-related items.
- Implementing and managing building policies and processes including management of locker, cycle spaces and car parking spaces.
- Visitor and delivery co-ordination lead for reception and security.
- Manage the teams SharePoint sites and standardised filing system for the team.
- Liaise with the Workplace Operations Gateway Team to coordinate the completion of commissions and sharing of customer communications.
- Support the FM team with assurance checks as required.
- Support the wider Workplace Operations team and carry out other tasks to contribute towards the day to day running of the Estate as directed by the Senior Building Manager or Head of Estate.
Person specification
Prospective candidates will be expected to demonstrate;
- Strong organisational and time management skills with the ability to manage a varied workload.
- Excellent written and verbal communication skills, tailoring messages to suit different audiences.
- Ability to analyse information and interpret performance data effectively.
- Skilled in problem solving and issue resolution, using sound judgement and a proactive approach to identify solutions.
- Previous experience of working in a customer services / customer facing role or within an Estates role would be beneficial.

Essential Criteria:
- Willing to work towards completion of Level 2 Facilities Services Operative Apprenticeship within 18 months of take up of post.
- Organised - efficient and able to manage a varied workload.
- Must have strong communication skills and IT Skills -including Microsoft Word - Excel-.

Who can apply for an apprenticeship?
To Start An Apprenticeship, You'll Need To Be
- 16 or over
- Have the right to live and work in the UK
- Not in full-time education
You can apply for an apprenticeship while you're still at school but you'll need to be 16 or over by the end of the summer holidays to start the apprenticeship.
Please note - if successful you must be 16 or over to undergo the relevant security checks.
A condition of your employment is the successful completion of your apprenticeship within the expected duration of 18 months. Failure to meet this requirement may result in HMRC removing you from the Apprenticeship Programme and/or terminating your employment.
Your training requirements and probation period will run concurrently. If you do not successfully complete your probation and/or the apprenticeship-where it is a specific requirement of your role-your employment with HMRC may be subject to termination.
Your manager will provide you with further details about the training programme, including the structure of assessments and, where applicable, the number of permitted attempts to pass, if they have not already done so.

Sift
In the event of a large number of applications being received, an initial sift may be held on your CV. At full sift, the behaviour statements, your CV and your Personal Statement will be assessed, with the successful candidates being invited to interview. We may also raise the score required at any stage of the process if we receive a high number of applications.
Interview
During the panel interview, your experience will be assessed and you will be asked behaviour-based questions to explore in detail what you are capable of, and you will be asked strength-based questions to also explore what you enjoy and your motivations relevant to the job role.

There is no expectation or requirement for you to prepare for the strengths-based questions in advance of the interview, though you may find it helpful to spend some time reflecting on what you enjoy doing and what you do well.
Interviews will take place face to face at Nottingham Regional Centre, Unity Square, Nottingham.
