Workplace & Corporate Services Specialist

We are currently recruiting for a Workplace & Corporate Services Specialist to sit within the General Administration and Corporate Services team, based in our European HQ, London office. You will be reporting into the General Administration Manager.
This role is key to building a stable and sustainable operating model for our UK offices, strengthening the Workplace & Corporate Services function while reducing reliance on key individuals.
What you will be responsible for
- Own the day-to-day operations of the London office, ensuring a smooth and efficient workplace experience.
- Manage workplace services, including meeting rooms, office supplies, and visitor management.
- Oversee reception, cleaning, coffee, and other office services, maintaining high service standards.
- Manage vendor relationships, monitor KPIs, and drive continuous service improvements.
- Coordinate office maintenance and repairs with landlords, facilities providers, and internal stakeholders.
- Manage contracts, purchase orders, invoices, and budget tracking.
- Produce regular reports on operational performance, risks, issues, and improvement initiatives.
- Lead workplace projects, including office improvements, space planning, relocations, and business continuity activities.

Skills, Experience and Attributes
- 3-5 years' experience in Workplace, Facilities, Corporate Services, or Office Operations.
- Hands-on experience across at least three areas: workplace management, workplace projects, visitor services, property administration, or multi-site operations.
- Proven responsibility for office operations and service delivery, beyond administrative support.
- Experience managing vendors, coordinating cross-functional stakeholders, delivering small projects, and reporting on KPIs or service performance.
- Experience within an international, fast-paced organisation is advantageous.
- Strong sense of ownership, accountability, and practical problem-solving.
- Ability to identify issues, analyse information, and implement effective solutions.
- Confident stakeholder management with the ability to build relationships across teams and with external suppliers.
- Strong project coordination skills with appropriate escalation and reporting.
- Excellent written and verbal communication skills in English.
- Highly organised, detail-oriented, and commercially aware.
- Proficient in Microsoft Excel, PowerPoint, Word, and Teams, with the ability to create reports, trackers, and presentations.
