JLL Workplace Experience Coordinator

Position Summary

The Workplace Experience Coordinator will provide essential facilities support and event setup services at London’s HQ site. This role ensures the building remains safe, well-maintained, and operationally efficient while delivering high-quality event support services for client functions and internal meetings.

Key Responsibilities

General Duties:

  • Receive and review the event requests in advance: Gather all event details from the event coordinator, including date, time, attendee numbers (internal/external), event purpose, VIPs, special requirements.
  • Assess impact on daily operations: Consider priorities of all business operation.
  • Conduct morning and afternoon space review for any changes to set-ups.
  • Complete general ad hoc tasks including furniture relocation, stationery delivery, confidential waste removal, contractor assistance, and simple furniture assembly.
  • Support any ad hoc furniture repairs.
  • Support with inventories of stored furniture and event equipment; report damaged or broken items to the MAC team.
  • Keep furniture stores, event storage areas, and Workplace Experience Coordinator's storeroom organised and tidy at all times.
  • Perform regular floor inspections to identify maintenance needs or safety hazards, reporting all issues via Corrigo.
  • Report building deficiencies, equipment malfunctions, or safety concerns to management.

Safety and Security:

  • Follow all health, safety, and sanitation protocols.
  • Properly handle, store, and dispose of cleaning chemicals according to safety guidelines.
  • Maintain awareness of building security procedures.
  • Report suspicious activity or safety violations immediately.
  • Ensure exit routes and emergency equipment remain unobstructed.

Customer Service:

  • Interact professionally and courteously with tenants, visitors, and colleagues.
  • Respond to requests and concerns in a timely, helpful manner.
  • Maintain a professional appearance and demeanour at all times.

Event Support Services:

Pre-Event Setup:

  • Review event setup requirements with the event coordinator.
  • Assess table and chair inventory on event levels; relocate additional furniture from other floors via stairs or goods lift as needed.
  • Prepare event spaces and arrange furniture according to specifications.
  • Support the set up required technology including AV equipment if provided by JLL.
  • Ensure all catering set-up is complete including appropriate tables.
  • Review the event set-up with the Event Coordinator to ensure quality control.

Post-Event Breakdown:

  • Clear and reset rooms as required.
  • Coordinate additional support staff for large or multiple concurrent events (advance notice required).

Required Qualifications

  • Previous experience in facilities support, Workplace Experience Coordinator services, or building maintenance preferred.
  • Ability to lift and move furniture and equipment safely.
  • Strong organisational skills with attention to detail.
  • Excellent communication skills and customer service orientation.
  • Ability to work independently and prioritise multiple tasks.
  • Flexible approach to working hours to accommodate event schedules.
  • Basic understanding of health and safety requirements.
  • Strong interpersonal and communication skills with the ability to remain professional, warm, and welcoming when interacting with VIPs, clients, and visitors at all levels.

Physical Requirements

  • Ability to walk building premises multiple times daily.
  • Capability to lift and move furniture and equipment.
  • Ability to climb stairs regularly.
  • Manual dexterity for equipment setup and maintenance tasks.

Working Conditions

  • Standard business hours with flexibility required for event support.
  • Work performed in office building environment, including outdoor rooftop areas.
  • May require occasional evening or weekend work for special events.
