The Role
We're looking for a Workplace Experience Coordinator to join our team.
This is a varied, hands-on role where no two days are the same. As part of the Central Services team, you'll help create a positive experience for everyone who works in or visits the office. From preparing meeting spaces and organising events to responding to workplace requests and resolving last minute challenges, you'll enjoy getting stuck in, finding solutions, and helping to make the office a place where people feel welcome, supported, and able to do their best work.
We're looking for someone who is organised, proactive and people focused, with a positive attitude and a practical approach. You'll enjoy building relationships, balancing a variety of tasks and finding practical solutions that make a difference to the day to day running of the office.
Key Responsibilities
- Be a friendly and professional first point of contact for employees, visitors, clients and suppliers.
- Welcome visitors and coordinate reception and hospitality arrangements.
- Coordinate workplace requests through the ticketing system, ensuring queries are tracked and responded to in a timely manner.
- Coordinate meetings and events, including room bookings, catering and set-up.
- Support agency events through venue sourcing, RSVP management, guest coordination and on-the-day support.
- Monitor office, stationery and kitchen supplies, arranging replenishment where needed.
- Receive and distribute deliveries, post and courier items.
- Carry out regular workplace checks, reporting maintenance, housekeeping and workplace issues as required.
- Support workplace communications, visitor arrangements and meeting room readiness.
- Prepare and coordinate meeting and event materials as required.
- Assist with diary management, meeting coordination and travel bookings where required.
- Process and reconcile expenses in line with company procedures.
- Maintain records, databases and administrative trackers, ensuring information remains accurate and up to date.
- Support workplace health, safety and compliance activities as required.
- Assist with office and workspace set-ups, including furniture moves and workspace reconfigurations.

Experience Essential
- Previous experience in an office administration, reception, hospitality, workplace experience or office support role.
- Excellent organisational skills and strong attention to detail.
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks and priorities in a fast paced environment.
- Strong customer service mindset with a proactive and positive approach.
- Proficiency in Microsoft Office, including Outlook, Word, Excel and Teams.
Desirable
- Experience using ticketing, helpdesk or workplace management systems.
- Experience supporting diary management and event/meeting coordination.
