Workshop Coordinator

Location: Duxford, Cambridgeshire

Hours: Full Time, Permanent


About The Role

SMT GB is looking for a proactive and organised Workshop Coordinator to support the efficient day-to-day operation of our workshop function.

Working closely with the Service Delivery Manager and engineering teams, you will ensure jobs are managed effectively from creation through to invoicing, resources are scheduled efficiently, and customers receive a best-in-class service experience.

This is a fast-paced role requiring excellent communication, strong administrative skills, and the ability to coordinate multiple priorities whilst maintaining high standards of compliance, customer service, and operational performance.


Key Responsibilities

  • Coordinate labour, materials, and resources to ensure the efficient completion of workshop jobs.
  • Schedule engineer resources and monitor workshop utilisation and efficiency.
  • Manage cases from creation through to completion and invoicing, ensuring costs are accurate and fully justified.
  • Maintain regular communication with customers, providing updates and ensuring a high level of customer satisfaction.
  • Monitor job performance, response times, invoicing, and closure targets.
  • Ensure purchase order processes are followed and job costs are controlled effectively.
  • Support compliance activities, including SHEQ requirements, incident reporting, risk assessments, and safe systems of work.
  • Support engineer development activities, and training compliance.
  • Escalate technical, operational, or customer-related issues where appropriate to ensure timely resolution.

About You

You will be a highly organised coordinator who thrives in a busy service environment and enjoys building strong relationships with both customers and engineers. With excellent attention to detail and a proactive approach, you'll be comfortable managing multiple priorities, ensuring jobs progress efficiently and delivering a high standard of customer service.

Essential Skills & Experience

  • Previous experience in a workshop, service, maintenance, engineering support or coordination role.
  • Experience scheduling resources, coordinating workloads or managing service jobs from start to finish.
  • Strong administration skills with excellent attention to detail.
  • Experience raising, updating and closing jobs, work orders or service cases.
  • Customer-focused with the ability to communicate confidently with internal and external stakeholders.
  • Good commercial awareness and an understanding of labour, parts and job costing principles.
  • Strong IT skills, including experience using business systems and Microsoft Office applications.
  • Ability to prioritise workload, solve problems and work effectively under pressure.
  • Commitment to working safely and adhering to company processes and procedures.

Desirable

  • Experience within the construction equipment, plant, agricultural, truck, automotive or heavy engineering sectors.
  • Understanding of service invoicing, warranty processes and purchase order controls.
  • Experience working with engineer scheduling, utilisation and efficiency metrics.
  • Knowledge of SHEQ requirements and safe working practices.
  • Exposure to customer service or aftersales operations within a technical environment.
