Role Overview

This is an exciting opportunity to play a central role in the day-to-day life of 54’s Wimbledon headquarters. As Workspace Champion, you will keep our workplace running smoothly, bring positive energy to the office and create a welcoming, professional environment where colleagues, clients and visitors have an excellent experience from the moment they arrive. This varied, hands-on role combines office management, basic IT support, team administration and occasional support for the Leadership Team. We are looking for someone proactive, dependable and solutions-focused who takes pride in making things happen and seeing them through.

Your core focus will be making 54 HQ a great place to do great work. You will help shape a high-energy, high-productivity workplace where people are committed, resilient and tenacious, and where creativity and entrepreneurial thinking are encouraged. You will lead on office management, provide responsive basic IT support and partner with the People Team on essential administration. From time to time, you will also provide ad-hoc support to the Leadership Team - using sound judgement, identifying smarter ways of working and keeping actions moving.

You will bring plenty of initiative and the confidence to keep pace in a busy environment. You will be comfortable juggling priorities, solving problems and owning tasks from first idea to final detail. Experience of basic IT support and HR administration will help you hit the ground running. This role suits an ambitious, people and experience focused person, who brings energy and collaboration to the workspace. 5 days a week in office is preferred but flexibility around core office hours is available.

Key Responsibilities

Office Management

  • Be the driving force behind a brilliant day-to-day experience at 54 HQ, keeping maintenance, repairs, security, access, cleaning, utilities, space planning, workplace projects and health and safety on track.
  • Build strong, responsive relationships with landlords, contractors, suppliers and service providers, while keeping a sharp eye on workplace budgets.
  • Keep workplace standards, policies and business continuity arrangements in great shape—and always be ready to spot practical ways to save time, reduce cost and improve how things work.
  • Keep the office organised and moving, from supplies, equipment, post and couriers to records, desk booking, SharePoint administration and memorable visitor experiences.

Technology, Systems & Process Improvement

  • Be the friendly first port of call for everyday hardware, software, connectivity, user-access and meeting-room technology issues - fixing what you can quickly and bringing in external experts when needed.
  • Keep our workplace technology working hard for us by managing providers and coordinating hardware purchases, inventory and improvements.
  • Give every joiner a smooth start and every leaver an organised exit by owning the workplace and IT elements of onboarding and offboarding.
  • Stay curious and keep raising the bar - simplifying processes, improving systems and finding fresh ways to make office life easier and better.

People & Leadership Support

  • Provide accurate, trusted and confidential administrative support under the direction of HR Management.
  • Partner with the People Team to give new starters a warm, well-organised welcome, help them feel connected from day one and support a smooth offboarding experience.
  • Deliver employee engagement activities and initiatives that strengthen connection, encourage collaboration and support meaningful participation across the office.
  • Help create and sustain an inclusive, high-energy and high-productivity workplace in which colleagues are encouraged to be committed, resilient, tenacious, creative and entrepreneurial.
  • Coordinate engaging workplace events, office activities and leadership sessions, providing clear communications, seamless logistics and effective supplier management.
  • Provide practical, proactive support to the Leadership Team on meetings, offsites, workshops and agreed actions, while keeping the role’s core priorities firmly on track.

Skills & Experience

Essential

  • Hands-on office management experience in a busy office, with the confidence to work independently, make sound decisions and own tasks from start to finish.
  • A strong track record of securing high standards and value from suppliers, contracts and external service providers.
  • Practical basic IT support experience, a calm approach to everyday issues and the judgement to escalate more complex problems.
  • Experience providing accurate and confidential workplace administration, with a clear understanding of when people-related matters should be passed to the People Team.
  • Excellent organisation, communication and problem-solving skills, with the energy to manage multiple workstreams and build positive relationships at every level.
  • A committed, resilient and tenacious approach, combined with the creativity and entrepreneurial mindset to identify opportunities, overcome obstacles and continuously improve the workplace experience.
  • Confidence using Microsoft 365 and workplace collaboration tools, together with a willingness to support colleagues and keep work moving.

Desirable

  • Experience working in a fast-paced agency or professional-services environment, supported workplace projects or relocations, created engaging internal communications, or used HR systems and workplace technology solutions.
  • A relevant qualification in health and safety, workstation assessment or office management would be a welcome bonus.

  • Flexibility around office hours – although a 5-day-a-week office touchpoint would be preferred
