Workspace Sales Coordinator

Meeting, Events and Coworking Lead

Working Hours

  • Full-time, either 08:30-17:00 or 09:00 to 17:30 (this may rotate depending on business needs), Monday-Friday, 37.5 hours a week

Location

Wizu Group Head Office, 46 Park Place, Leeds, LS1 2RY (Travel may be required on occasion, depending on business needs)

Salary

From £28,000 per annum, depending on experience (OTE £35,000)

Role Overview

The Workspace Sales Coordinator is responsible for leading the day-to-day reservation's function whilst assisting revenue growth across meetings, events and co-working products.

This role combines a drive for excellence with a commercial mindset, ensuring all enquiries are managed efficiently, converted into bookings wherever possible, and delivered with an exceptional customer experience. Working closely with the Sales Manager, Centre Teams and the wider sales team, the role supports occupancy, revenue generation and the continued growth of the business.

In addition to managing reservations, the Workspace Sales Coordinator will support commercial initiatives, maintain broker relationships, oversee sales pipelines and provide guidance to the Reservations team to ensure consistent service standards.

Key Responsibilities

Your key responsibilities will include (but not be limited to):

Specific Tasks

Sales & Marketing

  • Achieve consistent conversion rates in line with the department KPIs
  • Work towards sales targets for all product lines, focusing on viewings booked, revenue and memberships.
  • Hold engaging phone and email conversations in order to schedule viewings, as well as conducting pre-tour calls to confirm planned attendance
  • Engage with new and existing clients in order to book coworking day passes and meeting room and event space bookings over the phone and email as well as booking in taster days for our coworking memberships
  • Process new leads effectively using the CRM, in line with the Sales process to ensure leads are accepted/rejected in a timely and accurate manner
  • Ensure all administration relating to sales is completed effectively on CRM and the booking system, and all membership records are accurate
  • Work closely with internal stakeholders and brokers, enhancing relationships, keeping listings up to date, and finding opportunities to cross-sell
  • Negotiate with potential and current clients to close business via telephone, email and face to face, ensuring all Wizu products are communicated
  • Maintain a comprehensive knowledge of the company, centres, availability, products and services in order to provide a 'solution sales' experience
  • Conduct a high volume of inbound and outbound calls in line with agreed performance targets
  • Prospect, build, and manage your own sales pipeline to drive new business opportunities.
  • Carry out exceptional office tours, coworking tours and meeting room/event space viewings for prospects as and when required

Relationships

  • Build positive relationships with broker partners and agents to increase lead volume
  • Update brokers with availability, pricing and offers on a regular basis
  • Be quick to respond to brokers and prospects to give the best possible chance of winning the business
  • Engage with existing clients to increase booking consistency on meeting rooms and event spaces.
  • Conduct extensive research of the prospect through social media platforms and search engines to properly qualify the lead and prepare for the conversation
  • Work closely with Centre Teams to ensure seamless handovers for meetings, events and Tours for both office and co-working.
  • Engage with CDM’s and BDM on a regular basis to increase knowledge of centres and available offices across all locations
  • Work with the meeting and events sales associate to increase revenue and repeat business across the meeting and events channel

Administration

  • Diarising callbacks and managing tasks on time
  • Keep the CRM updated at all times, with clear notes following conversations
  • Provide reporting on leads, viewings, no shows and cancellations when requested
  • Keep a close eye on broker listings for all product lines to ensure Wizu is presented accurately and in the best light. This includes adding new locations, changing pricing and updating any changes when necessary.
  • Ad hoc duties as and when required
