£27,709 per annum pro rata (Grade D)


Plymouth City Council runs two commercial business centres in the city, The Business Centre in Cattedown and City Business Park in Stoke, which together support over 100 small businesses.


The Role

We are looking for a bright, adaptable and enthusiastic part-time Workspace Support Assistant for three days a week (Mondays, Tuesdays and Fridays), over a 12-month period. They will be responsible for day-to-day administration and reception duties, as well as providing support to our tenants and management team.

The role will primarily be based at The Business Centre in Cattedown, although they will also be required to work at City Business Park in Stoke.

As we provide a frontline service, there is no opportunity for home-working.


Responsibilities

  • Frontline reception duties, meeting and greeting and signing in tenants, contractors and visitors
  • Undertaking viewings of our business units to potential tenants
  • Processing applications and compiling tenancy agreements and associated paperwork for new tenants
  • Conducting site inductions for new tenants and contractors
  • Carrying out financial processes including invoicing and setting up accounts using the Council’s financial systems
  • Updating and maintaining MS Excel spreadsheets and databases
  • Reporting building repair and maintenance issues
  • Dealing with enquiries from tenants and the general public via phone, email and face-to-face
  • Issuing parking permits
  • Taking meeting room bookings and managing them on the day
  • Dealing with incoming and outgoing mail
  • Assisting with the smooth running of the business centres

We Are Looking For Someone Who Has

  • Extensive experience of working within a reception or other frontline customer service environment
  • Excellent administration and organisational skills that includes multi-tasking
  • A proven track record of following procedures
  • Excellent computer skills including MS Word, Excel and Outlook
  • A confident telephone manner and strong communication skills, both written and verbal
  • Demonstrable experience of working under pressure and using their own initiative, whilst ensuring accuracy and attention to detail
  • Flexibility to work outside ‘normal’ working hours as and when required to meet the needs of the service
  • A cheerful and confident personality, with a positive can-do attitude
  • A qualification in First Aid at Work or willing to undertake the relevant training to become a first aider
  • Experience of being a fire warden in a previous role
