Utilizing your outstanding communication skills, you will work successfully within a team environment, build effective working relationships, and maintain a comprehensive understanding of the organization. Exhibiting high levels of integrity, professionalism, and discretion, you will be handling confidential information whilst dealing with senior professionals, both internal and external. As this role is for a true self-starter, you will be able to take swift, effective action whilst proactively solving complex problems with little or no guidance.
Working closely with the SVP, Communications & Brand and other senior leaders, you will track and help drive the completion of key deliverables and follow up on outstanding items while providing seamless support using prioritization of business activities. Being detail-oriented and highly organized in nature, you will manage complex calendar and scheduling requirements, handle travel coordination (both domestic and international) and drive key team activities, such as meeting agendas, all hands meetings, and cyclical events such as annual planning sessions and performance reviews.
Requirements
- 7+ years providing administrative support to senior leadership in a fast-paced environment.
- Bachelor's degree or equivalent professional experience.
- Project management background.
- Highly proficient with Microsoft Office suite, specifically Outlook, Word, Excel and PowerPoint, SharePoint and TEAMS.
- Experience with public companies.
- Experience with global travel and necessary requirements (such as Visa applications, etc.).
- Experience with procurement/finance tools and vendor management.
- Proven ability to design and edit accurate, compelling presentations, reports and communication.
- Experience with board and governance processes and expectations.
- Ability to develop agendas, record and present meeting notes, and drive agreed-upon action plans.
Responsibilities
- Proactively identify and act upon needs and solutions that enhance productivity and task management for c-suite executives and senior leadership team.
- Organize and manage intricate schedules and travel arrangements, ensuring seamless coordination across various time zones and locations to optimize executive time management.
- Gather quarterly updates on KPIs.
- Process and track POs and invoices.
- Design presentations and develop or procure related materials (i.e., agenda, handouts)
- Develop and implement seamless operational processes.
- Lead the planning and execution of events, ensuring all logistics align with executive priorities and organizational needs.
- Cultivate and maintain strong relationships with internal and external stakeholders to facilitate executive initiatives and enhance collaborations across the organization.
- Establish and promote best practices in administrative support, mentoring peers and team members to elevate overall executive support team performance and service delivery.

- This is a full-time position, primarily working core business hours in your time zone, with flexibility to adjust to various global time zones (primarily US time zones) as needed.
- This is a hybrid opportunity; the Lead Executive Assistant must be commutable to our London office and able to attend the London office two days per week.
