Work Project Administrator

The role involves maintaining the District work programme, ensuring that tasks and priorities are clearly organised and updated as needed. A key part of the job is to co‑ordinate District work and resources on a reactive basis, effectively managing workloads to cover absences, training commitments, and other operational demands.
In addition, the position provides essential business support to Network Operations, helping to ensure smooth day‑to‑day functioning. It also delivers comprehensive administrative support to the District, contributing to efficient operations and consistent service delivery.
Responsibilities
- Provide a central contact point for the District in respect of the work programme.
- Assist in the building of the weekly work programme with Zone staff and Team Leaders
- Support the Productivity & Delivery Manager to drive efficiencies in the work programme by actively managing the scheduling process and looking for improvements to consider.
- Optimise the workload of each resource to obtain maximum productivity within the work programme.
- Supporting the weekly and daily maintenance of the resource plan and work programme
- Recording, allocating and matching resource to the work programme in an effective manner and as per the requests of district Coordinators and Project Managers
- Production and delivery of reports and management information within agreed timescales.
- Implementation of work programme project administration controls – e.g adding/removing staff to the virtual planner due to new employees, retirement, role changes.
- Request and manage additional resource requests in line with Business needs. E.g in exceptional weather. This involves sending out group communications and then collating and managing available additional resources.
- Ensure quality standards are maintained in all activities performed.
- Ensure awareness and complicity with Company Health, Safety and Environmental requirements.
- Assist internal and external stakeholders in the raising and invoicing of purchase orders.
Requirements
- Planning and Organising skills.
- Excellent communication skills.
- Significant all round administrative experience.
- Able to operate at all levels of the business.
- Working knowledge of Business IT systems.
- Working knowledge of Energy Networks policies, procedures and working practices.
- Working knowledge of health, safety and environmental legislation.
- Developed negotiation, communication and people management skills.
- Familiarity with MS suite of systems
