Medical Secretary

Role Description


Part-Time Position – Pro-Rata Salary This is a part-time role. The salary will be pro-rated accordingly.


Role Purpose To provide medical secretarial and administrative support to:

  • Clinicians
  • Members of the multi-disciplinary teams (MDT)

Core Responsibilities

  • Deliver accurate and timely medical secretarial support to enhance clinical and administrative workflows.
  • Prepare, edit, and file medical correspondence (letters, reports, emails).
  • Coordinate appointments, schedule meetings, and manage clinic diaries.
  • Handle sensitive documentation, ensuring confidentiality and compliance with NHS Scotland policies.
  • Provide administrative back-up during busy clinical periods.
  • Assist with data entry, maintaining up-to-date records in electronic patient systems.
  • Liaise between clinicians, team members, and external stakeholders.
  • Carry out general office duties, including post, telephone inquiries, and filing systems.

Job Requirements

Qualifications & Skills

  • Proven healthcare or medical secretarial experience (advantageous but not compulsory).
  • Excellent proficiency in typing, communication, and Organisational Skills.
  • Familiarity with medical terminology and NHS systems an asset.
  • Excellent confidentiality and discretion in handling sensitive information.
  • Proficient in Microsoft Office (Word, Excel) and relevant ehealth platforms.

Essential Personal Attributes

  • Strong attention to detailensures accuracy in medical records.
  • Excellent communication skills, both written and verbal.
  • Self-motivated with the ability to prioritise and manage multiple tasks.
  • Quick learner, open to training and new challenges.
  • Ability to work collaboratively within a multi-disciplinary team.
  • Comfortable navigating NHS Scotland policies and procedures.
