About the Role

LMH seeks to appoint a full-time, 3-year fixed-term Access and Outreach Assistant to support the administration of the College’s rich and varied schools outreach programme, including our new sustained contact programme.

We are looking for a highly organised individual with strong skills in administration and communication.

About the Outreach Programme: Access and Outreach activities at LMH are strategically important, aiming to ensure that talented students—especially those from groups currently under-represented within the College and University—are identified, inspired, and supported in applying to study at Oxford, particularly at LMH. The programme includes in-person events such as:

  • Five Subject Taster Days
  • Large open days
  • Offer holder welcome days
  • Collaboration with schools and colleges

A new sustained contact programme, The Wayfinder Programme, will launch this year.

Responsibilities

Role Location and Key Accountability

  • Based in: College’s Academic Office
  • Reporting to: Head of Access and Admissions Support
  • Collaborates with: Outreach Programme Manager, Access and Outreach Officer, Senior Tutor, Academic Staff, Development Office, Communications Office, Student Ambassadors and student body.

Main Tasks

Wayfinder Programme Support:

  • Moderate mentor engagement on the mentoring platform, monitor communications, address mentor questions and maintain records.
  • Develop and format programme resources—information packs, academic materials, and Canva advertisements.

Event Administration & Logistics:

  • Manage event registrations, book rooms/catering for on-site events like Taster Days and Open Days.
  • Organise travel, accommodation, and payments for participant teams (including mentors and student ambassadors).
  • Coordinate casual outreach staff (ambassadors, mentors) through:
    • Application processing
    • Scheduling interviews and training sessions
    • Responding to emails regarding roles opening

Communications & Outreach:

  • Manage the joint Outreach email inbox (respond to enquiries and liaise with schools/event attendees).
  • Maintain a list of school contacts to promote College outreach activities.
  • Liaise across College/University teams coordinating events.

General Office Administration:

  • Handle travel reimbursements, stocking merchandise, and financial record-keeping.
  • Enter, verify student event data in the HEAT database, ensuring compliance.
  • Provide support to the College’s Access Working Group (e.g., meeting scheduling and record distribution).

Additional Responsibilities:

  • Comply with legal requirements (Child Protection, Risk Assessment) during all events.
  • Provide logistical support for Undergraduate Admissions interviews in November-December.
  • Assist with freshers’ registration and academic recruitment as needed.

Requirements

Essential

  • Education to A Level or equivalent
  • Strong organisational skills with the ability to work independently
  • Capacity to work under pressure and troubleshoot efficiently
  • High attention to detail and accuracy
  • Ability to collaborate effectively in a busy team
  • Orally and in writing: Strong communication skills
  • Analytical judgement: Knowing when to take initiative versus seek guidance
  • Proficiency in Microsoft Office (especially Outlook, Excel, PowerPoint, Word)
  • Awareness of data privacy rules (GDPR and CMA), safeguarding policies

  • Degree-level education
  • Prior experience working with young people or those from diverse backgrounds
  • Familiarity with the UK education system and pathways to higher education

Terms & Conditions

  • Salary: £31,000/year be negotiable for 37.5 hours/week

  • Work Arrangements: During term-time, Hybrid model (2 core office days, event flexibility). Outside these periods, flexible arrangement per agreement. Outside-term adherence includes occasional evening/weekend deadlines during Admissions streaks.

  • Holidays: 37 days (including public holidays) + outs hours compensated as time off in lieu.

  • Initial Probation Period: Four months.
