Accounts Payable/Receivable Assistant (“AP/AR Assistant”)
Reports to: Finance Director
Salary & Benefits – £28,000 to £35,000. Hybrid position (min 3 x days per week in London Office). Plus, generous benefits, holiday and flexible office working.
Summary
Responsible for the day-to-day processing of Accounts Payable and Accounts Receivable activities, ensuring accurate and timely financial operations.
Duties/Responsibilities
- Processing payments to contractors on a weekly, fortnightly and monthly basis.
- Responsibility for raising purchase orders and processing supplier invoices.
- Using a selection of different client portals and manual recordings to obtain contractor timesheet information. Capturing and consolidating this data for Invoicing.
- Following up on and chasing missing timesheets with contractors.
- Assisting with Invoicing to clients for permanent and contractor placement using Xero in accordance with terms and requirements set by client.
- Uploading of sales invoice data onto the Invoice Discounting portal and moving available cash into the company Bank Accounts.
- Using our CRM system to manage client & candidate information, job information, deal booking forms and to generate insightful reports.
- Assisting with monthly reconciliations of invoice discounting accounts and bank accounts.
- Resolving client and contractor queries on a periodic basis.
- Processing weekly supplier payments, reconciling Accounts Payable on a periodic basis.
- Processing weekly consultant company expenses.
- Assisting with allocation of receipts from clients within Accounts Receivable.
- Assisting with credit control function and follow up with clients for payments.
- Assisting Financial Director in adhering to audit / compliance requirements with external stakeholders.
- Assisting with the production and maintenance of the Cashflow Forecast.
- Any other ad hoc duties as required.

- Highly numerate with excellent attention to detail.
- Minimum one year's experience in an Accounts Payable, Accounts Receivable or Accounts Assistant role.
- Experience within the recruitment sector would be advantageous, although candidates from other industries will be considered.
- Experience using Xero would be beneficial; experience with other accounting software will also be considered.
- Studying towards AAT, ACCA or CIMA would be advantageous.
