Accounts Payable Senior Assistant – Hampshire Hospitals NHS Foundation Trust
Patient care is at the heart of our work at Hampshire Hospitals NHS Foundation Trust, and this role supports our financial functions to ensure seamless operations for better service delivery across our three hospital sites: Basingstoke and North Hampshire Hospital, Royal Hampshire County Hospital (Winchester), and Andover War Memorial Hospital.
Serving 600,000 people, the Trust provides key medical and surgical services, including international specialisms such as pseudomyxoma peritonei and advanced cancer treatments (liver and colorectal). About the Role
Key Purpose
The Accounts Payable Senior Assistant is responsible for providing comprehensive support to the Accounts Payable Manager and team, ensuring the accurate processing, recording, and reporting of all aged creditors in alignment with NHS Swiss Business Services (SBS) and internal controls.
This critical function maintains smooth financial operations, enabling the Trust to meet its No PO No Pay policy while fostering strong working relationships with suppliers, internal stakeholders, and SBS.
Core Responsibilities
1. Daily Processing and Compliance
- Process high-volume transactions, including:
- Non-PO invoices
- PO-matching queues
- Oracle hold queries
- Interface rejections
- Monitor workflows and resolve issues within agreed timescales to prevent disruptions in supplier payments and financial reporting.
- Enforce strict adherence to the Trust’s No PO No Pay policy, providing guidance to stakeholders, challenging non-compliance, and escalating issues as needed.

2. Supplier and Stakeholder Engagement
- Build strong collaborative relationships with suppliers, internal departments, and NHS Shared Business Services (SBS).
- Handle client inquiries, escalate unresolved queries effectively, and communicate progress clearly.
3. Month-End and Audit Support
- Support month-end activities, including:
- Reviewing GRNI (Goods & Services Received, Not Inviced) and aged creditors reports.
- Resolving outstanding items to ensure accurate financial reporting.
- Assist with KPI monitoring, audit requirements, and financial controls.
4. Process Improvement and Operational Support
- Identify recurring issues and support implementation of process enhancements to improve efficiency and control.
- Provide cover for key responsibilities when needed, contributing to team continuity.
Person Specification: Key Requirements
Skills & Experience
✅ Strong organisation, prioritisation skills, and ability to manage a high-pressure, high-volume environment. ✅ Attention to detail with a proven ability to minimize errors in financial processes. ✅ Excellent communication skills to interact with a diverse range of stakeholders, including suppliers, internal teams, and SBS. ✅ Ability to act independently, solve problems, and consult on compliance adherence. ✅ Experience of working in an NHS, government, or high-regulatory setting is advantageous (not essential but preferred). ✅ Familiarity with ERP systems (e.g., Oracle) or credentials processing functions is a strong advantage. ✅ Strong knowledge of financial audits, control frameworks, and working capital management preferable.
