Our fine art handling is led by experienced art technicians, using custom crates, museum-grade casing, and condition reporting. For events and interiors, we offer debris removal, logistics coordination, and sign-off safety procedures.

About the Role

The Growth Admin Assistant / Project Support role provides essential operational support across multiple teams, ensuring smooth project execution for fine art, interior relocation, and event logistics.

You’ll assist with project documentation, logistics coordination, and administrative workflows while supporting project managers, warehouse operatives, and clients with clarity and precision.

This role offers a hybrid working opportunity with direct impact on a diverse and rewarding industry.

Key Responsibilities

Core Administrative Support

  • Manage phone inquiries, emails, and client correspondence with professionalism and efficiency
  • Schedule & coordinate meetings, appointments, and journeys
  • Proficient data entry, reporting, and documentation maintenance in project management tools
  • Organise and manipulate spreadsheets, databases, and project tracking systems

Logistics & Project Coordination

  • Support fine art, FF&E, and event logistics, including transportation planning and installation coordination
  • Assist with inventory checks and condition reporting for high-value assets
  • Oversee ** paperwork for customs, permits, and compliance** (e.g., ATA Carnets)
  • Track project milestones and ensure accurate project documentation for audits or client handovers

Operational & Team Support

  • Liaise with internal teams (e.g., project managers, warehouse staff, transport crews)
  • Manage administrative queries and assist in resolving routine operational issues
  • Maintain secure file systems and collateral for external and internal stakeholders

Requirements & Skills

Essential

  • Strong administrative and clerical skills, with proficiency in:
    • Office software (Microsoft Office or equivalent)
    • Spreadsheet/excel management (spreadsheet formulas, data validation)
    • Record-keeping and document organisation
  • High attention to detail, including accuracy in handling logistics data and client communication
  • (Exceptional) organisational skills to manage multiple processes simultaneously
  • Professional communication, with phone etiquette and polite, efficientClient interactions -Ability to work independently and collaboratively in a hybrid environment
  • Reliability in meeting deadlines and maintaining confidentiality
