The role
We're looking for an Admin Manager who takes genuine pride in keeping things organised, running smoothly, and never dropping a ball, because in our world, a missed appointment or a delayed document isn't just an admin slip, it's someone's job search momentum. You'll be the calm, capable presence that keeps our day-to-day operations on track, so our coaches can focus on what they do best and our clients feel looked after at every step.
This isn't a back-office role where you're invisible. You'll be liaising with coaches, welcoming new clients, coordinating schedules, and quietly making sure everything behind the scenes just works. - You're uncomfortable being the one to hold people accountable to deadlines or chase up loose ends
- You'd rather work behind a screen all day than communicate directly with clients and coaches
- Confidentiality feels like a formality to you rather than something you take seriously
- You prefer a fully remote setup, this is an on-site role in Liverpool, and being physically present matters for how our team works together
What you'll be doing
- Owning the day-to-day admin operations that keep Job Search Accelerator running smoothly
- Managing schedules, appointments, and coordination between coaches and clients
- Supporting client onboarding — often someone's first impression of us, so you'll set the tone
- Maintaining accurate records, databases, and documentation
- Handling correspondence and communication with professionalism and warmth
- Preparing documents and reports, and assisting with basic financial admin (invoices, expense tracking)
- Spotting opportunities to improve our processes — and having the initiative to actually make them happen
- Ensuring everything we do stays compliant, confidential, and client-focused

What you'll bring
- Solid experience in administrative or office management, ideally in professional services or a coaching-type environment
- Confidence with everyday tools — Microsoft Office or Google Workspace, calendars, databases, basic CRM systems
- Communication skills that feel professional but human — you can write a polished email and still sound like yourself
- A sharp eye for detail, whether that's a spreadsheet, an invoice, or a client file
- The ability to juggle competing deadlines without losing your cool
- Discretion — you'll be trusted with confidential client information and take that seriously
- A proactive mindset: you don't wait to be told a process could be better, you just improve it
