The Role

As an Admin Officer, you will be the backbone of our daily operations, ensuring a safe, efficient, and welcoming workplace. You will act as the primary liaison between the office, vendors, and building management, overseeing everything from facility maintenance and health and safety compliance to procurement and event coordination. You have to manage essential office floor services, support financial administration through purchase order tracking, and serve as a key point of contact for staff health and safety needs.

Key responsibilities:

  • Line of communication between the office and the vendors and the landlord/ building management
  • Arranging of the required monthly and annual maintenance checks and any ad-hoc maintenance repairs
  • Ordering supplies for the office including general office supplies and items for the coffee machine/ canteen
  • Maintenance of the office floor including ensuring meeting rooms are kept tidy ready for use, storerooms are kept organized and the coffee machine stays stocked with coffee beans and chai/ chocolate powder etc.
  • Communicating with the finance team to raise and track required purchase orders for the maintenance work and any orders placed
  • Tracking and reporting of company card spends and raising purchase order requests and processing receipts and invoices
  • As the Health and Safety Executive for the office floor, responsible for maintaining the health and safety of the office, ensuring services are up to date to remain compliant and completing the monthly reports and risk assessments
  • Assisting the team with any ad-hoc concerns or issues, Organising events.
  • Arrangement and monitoring of the keycard systems for the floor including creating new keycards for new staff, visitors, any required contractors, removing access for staff who leave, and producing monthly reports to track employee and visitor access.

Your Profile

Essential skills/knowledge/experience:

  • Familiarity using MS Office, O365 (Outlook, Teams, Word, Excel, PowerPoint)
  • Strong verbal/written communication; high level of organization; procurement and budget tracking; ability to prioritize multiple ad-hoc tasks.
  • Proven experience in office administration, facilities management, or a similar operational support role.

Desirable skills/knowledge/experience:

  • Proficiency in Health & Safety (HSE) regulations; understanding of DSE (Display Screen Equipment) assessment protocols.
  • Event planning experience; proficiency in managing electronic access/keycard systems; advanced skills in reporting and data tracking.
